We are looking for a highly motivated and organized individual to help facilitate the everyday duties of a busy marketing firm. Our firm focuses on Single and Multifamily residential units and works closely with buyers, sellers and developers sell their investment.

RESPONSIBILITIES OF THE JOB:

Provide administrative support for our team.
Deliver concierge-level customer service to sellers, buyers, and lenders
Accompany the team when engaged in client meetings and open houses
Take meeting minutes and perform necessary follow-ups with clients as instructed
Manage and organize filing of all real estate transactions in a cloud based solution
Request feedback on showings from other agents
Schedule Open House appointments with agents
Prepare offers and other transaction-related documents for Agents
Schedule showings for team members
Answer emails and be able to manage a multi-line phone system and respond to customer inquiries and needs.
Helping prepare Sales Documents, MLS postings and paperwork as well as client paperwork
Greeting clients in person and over the phone with an utmost level of professionalism
Helping with invoicing, mail courier shipping and receiving and also managing office supplier
Carry out all administrative duties as requested

QUALIFICATION REQUIRED FOR THE JOB:

Working with an existing Marketing company that specializes in marketing Multifamily units is highly desirable.
Able to juggle multiple tasks and assess priorities and timelines to deliver.
Demonstrate exceptional written and verbal communication skills amongst team members and clients
Works calmly when under pressure and can organize their tasks in an optimized manner
A strong desire to go above and beyond the call of duty and wow customers with their positive attitude
Minimum of 1-year experience in a Real Estate administrative role
Deadline driven and extremely organized
Work efficiently and in a timely manner on a variety of tasks with minimal supervision
Experience preparing offers and other transaction-related documents
Excellent written and verbal communication skills
Familiarity with MLS or other similar platform(s) used for Real Estate Transactions

NICE TO HAVE SKILLS:

Marketing or social media experience
