Front Desk Receptionist / Guest Services Agent

Overview

Harbourview Inn & Suites is seeking a friendly, professional, and customer-focused Front Desk Receptionist to join our hospitality team. The ideal candidate will be responsible for providing exceptional guest service, managing reservations, handling guest inquiries, and ensuring a welcoming experience for all visitors. This role requires strong communication skills, attention to detail, and the ability to multitask efficiently in a fast-paced hotel environment.

Responsibilities

Welcome guests and provide a warm, professional first impression during check-in and check-out.
Manage hotel reservations through the Property Management System (PMS), online booking channels, and direct bookings.
Answer and direct incoming phone calls, emails, and guest inquiries promptly and professionally.
Process guest payments, deposits, refunds, and billing transactions accurately.
Assist guests with room assignments, local recommendations, directions, and hotel amenities.
Monitor room availability, occupancy levels, and reservation updates.
Coordinate with housekeeping and maintenance teams to ensure rooms are ready and guest requests are fulfilled.
Handle guest concerns, complaints, and special requests professionally and efficiently.
Maintain accurate guest records and reservation information.
Perform daily front desk administrative tasks, including reports, filing, and correspondence.
Ensure compliance with hotel policies, procedures, and brand standards.
Support sales initiatives by promoting hotel services, amenities, and special offers.
Assist with night audit duties and shift reports when required.
Maintain a clean, organized, and welcoming front desk and lobby area.

Skills & Qualifications

Previous experience in hospitality, hotel front desk, customer service, or administrative roles preferred.
Strong communication and interpersonal skills.
Excellent customer service and problem-solving abilities.
Ability to work independently and as part of a team.
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
Experience with hotel Property Management Systems (PMS), Booking.com, Expedia, Best Western systems, or similar reservation platforms is considered an asset.
Ability to handle cash, credit card transactions, and basic bookkeeping tasks accurately.
Strong organizational skills and attention to detail.
Ability to multitask and perform efficiently in a fast-paced environment.
Professional phone etiquette and guest relations skills.
Flexible availability, including evenings, weekends, and holidays when required.
