Job Overview

This is a supportive management role. The Rooms Manager does not replace the Guest Service Manager or Housekeeping Supervisor. The Guest Service Manager directly oversees the Front Desk team, and the Housekeeping Supervisor directly oversees the Housekeeping team.

The Rooms Manager works closely with both department leaders to support daily operations, improve communication, assist with room planning, support group business, and help ensure guests receive clean, comfortable rooms and smooth service.

In the absence of the General Manager, the Rooms Manager may act as a point of contact to assist the Guest Service Manager and other department leaders with executive-level operational decisions. These decisions must be made in line with hotel policies, brand standards, guest satisfaction, safety, and the best interest of the property.

This position may also be required to assist with Front Desk shifts or support other operational areas when staffing needs require assistance.

Responsibilities

Respond to group room inquiries in a timely and professional manner.
Prepare group room quotes, room blocks, and group details as directed by hotel leadership.
Track group room blocks, cutoff dates, pickup, rooming lists, deposits, billing details, and special requests.
Follow up with group contacts, sports teams, tour operators, companies, and local business clients.
Look for opportunities to increase room revenue through group bookings, repeat business, extended stays, and local partnerships.
Monitor daily occupancy, arrivals, departures, no-shows, cancellations, and room availability.
Support room assignment planning to balance guest needs, housekeeping workload, and room availability.
Work closely with the Guest Service Manager to support Front Desk operations, guest service, arrivals, departures, and shift communication.
Act as a supportive point of contact for the Guest Service Manager when the General Manager is unavailable.
Assist the Guest Service Manager and other department leaders with operational decisions when senior leadership is absent.
Cover Front Desk shifts when required due to business needs, staffing shortages, call-ins, vacations, high occupancy, or busy arrival/departure periods.
Assist with check-ins, check-outs, reservations, guest concerns, billing concerns, and service recovery when needed.
Work closely with the Housekeeping Supervisor to help ensure rooms are cleaned, inspected, and released on time.
Assist with room attendant assignments, room boards, and cleaning priorities when needed.
Help ensure strong communication between Front Desk and Housekeeping regarding room status, arrivals, departures, early check-ins, late checkouts, VIPs, groups, and special requests.
Follow up on guest concerns related to room cleanliness and ensure issues are corrected quickly.
Assist with room inspections when required to support cleanliness standards and guest satisfaction.
Help ensure maintenance issues found in guest rooms are reported and followed up on.
Assist with executive-level operational decisions in the absence of the General Manager or Assistant General Manager, including decisions related to guest concerns, room assignments, group arrivals, housekeeping priorities, room readiness, staffing needs, and daily hotel operations.
Use sound judgment and ensure decisions are made in line with hotel policies, brand standards, guest satisfaction, safety, and the best interest of the property.
Communicate clearly with department leaders and follow up with the General Manager or Assistant General Manager when they return.
Complete additional duties as assigned by the Assistant General Manager or General Manager.

Qualifications

Previous hotel experience required.
Experience in Front Desk, Housekeeping, Reservations, Sales, or Rooms Division is considered an asset.
Supervisory or management experience preferred.
Experience with group rooms, reservations, or room block management is an asset.
Strong guest service and problem-solving skills.
Strong organization and communication skills.
Comfortable working closely with department supervisors and supporting their teams.
Able to manage multiple priorities in a fast-paced hotel environment.
Comfortable with sales follow-up, guest communication, and occupancy planning.
Willing and able to cover Front Desk shifts or assist in other areas when required.
Basic computer skills required; hotel PMS experience preferred.
Must be available to work flexible shifts, including weekends and holidays as needed.
