Job Summary
The Part Time Administrative Receptionist serves as the first point of contact for customers and visitors at our Award-Winning dealership. In our luxury retail environment providing excellent customer service is essential. This role is responsible for managing the receptionist desk, answering and directing calls, handling customer inquiries, administrative tasks, social media content creation, licensing and other duties to ensure efficient daily operations.
The Part-Time Administrative Receptionist position requires a candidate who is adaptable and willing to work varying hours. Flexibility in scheduling is essential, as duties may involve covering shifts during peak times, assisting with special projects, or accommodating last-minute changes in the office schedule. The ideal candidate should be prepared to adjust their availability to meet the needs of the organization while maintaining a professional and welcoming front for visitors and staff alike.
Key Responsibilities
Duties include, but are not limited to the following:
- Warmly greet every customer and visitor, ensuring they feel welcome and valued from the moment they enter.
- Answer incoming phone calls promptly and efficiently, directing them to the appropriate departments or personnel as needed.
- Manage the floor rotation and guide clients to the relevant department or staff members, ensuring they receive the assistance they require without delay.
- Address general inquiries related to the dealership’s services, operating hours, and directions, providing clear and accurate information.
- Handle all aspects of mail management, processing incoming and outgoing mail as well as deliveries.
- Stay informed about basic dealership offerings and services to effectively assist clients during their visit.
- Oversee the cleanliness and tidiness of the customer lounge, showroom and customer restrooms, creating a comfortable environment for visitors.
- Enter and update client information and traffic records in the dealership database, ensuring data accuracy.
- Perform clerical responsibilities as needed to support the dealership’s operations.
- Assist in preparing and submitting vehicle title and registration documents, facilitating smooth licensing and registration processes.
- Maintain a strong and positive working relationship with team members and management, promoting a collaborative team environment.
- Ensure the reception area is consistently attended to, providing uninterrupted service to all visitors.
Qualifications
- At minimum a High School Diploma or equivalent
- Administrative or Automotive related training is an asset
- Previous experience in a receptionist or licensing clerk role (preferably in the automotive industry)
- Familiarity with motor vehicle licensing and registration processes
- Proficient in Google and dealership management software (CDK preferably)
- Ability to handle sensitive and confidential information professionally
- Must be able to work a variety of shifts between Monday and Saturday: Current shift Monday - Thursday 4pm -8 pm and Saturday 9 am - 6pm
