Studio Coordinator | AVA Movement Studios
We are AVA Movement Studios, a fun, empowering, and fast-paced pole and aerial movement studio in the heart of downtown New Westminster, and we're looking for an experienced, high-performing Studio Coordinator to join our incredible team.
Our Studio Coordinators are much more than front-desk staff. They are an important part of the day-to-day operation of our studio and the experience our students have from the moment they walk through our doors.
As a Studio Coordinator, you'll be:
- The first point of contact and a warm welcome for every client who walks through our doors.
- The friendly, reliable face who helps us deliver a red carpet experience.
- A trusted source of client support and connection, helping people feel comfortable, seen and celebrated.
- A key part of keeping our inclusive, body-positive community organized, clean and running smoothly.
- Someone our instructors and management team can depend on to take ownership of their shift.
This is a hands-on role that combines customer service, administration, sales, cleaning and studio operations. We're looking for someone who loves working with people but is equally comfortable rolling up their sleeves, taking initiative and getting things done.
Previous experience in a similar client-facing administrative, reception, hospitality, wellness or studio operations role is required.
What You'll Do:
Front Desk + Customer Service
- Greet students and guests warmly and provide excellent in-person, phone, email and text support.
- Handle bookings, membership setup and class registrations with accuracy and care using our studio management system.
- Monitor and respond to voicemail, email and text inquiries professionally and in a timely manner.
- Help create a welcoming environment where every student feels comfortable and supported.
- Confidently assist clients with questions, concerns and account issues while following studio policies and procedures.
Membership + Sales Support
- Confidently explain our membership options, introductory offers, packages and services.
- Help prospective and existing students choose classes and options that best suit their goals.
- Process payments for memberships, drop-ins, events, workshops and retail purchases.
- Assist with new-student onboarding and ensure clients understand how to navigate their accounts, bookings and studio policies.
- Help us turn inquiries and trial students into long-term members through genuine, helpful customer service.
Studio Prep + Cleaning
Cleaning is an important part of this position. Our Studio Coordinators are responsible for ensuring the studio is clean, organized and ready for our students and instructors.
Duties include:
- Arriving before classes begin to prepare the studio.
- Sweeping and steam-cleaning floors in our pole, aerial and reception areas.
- Cleaning mirrors and studio surfaces.
- Dusting reception and studio shelving.
- Sanitizing equipment and high-touch areas.
- Cleaning and restocking washrooms.
- Emptying garbage and recycling.
- Tidying reception and common areas.
- Preparing cleaning cloths and other supplies needed for classes.
- Maintaining the cleanliness and presentation of the studio throughout your shift.
Studio Operations
- Complete opening and/or closing procedures and assigned shift checklists.
- Ensure the studio is organized, stocked and ready for classes each day.
- Monitor class arrivals and attendance and communicate relevant information to instructors.
- Identify things that need attention and take initiative to address them without waiting to be asked.
- Prioritize tasks effectively when several things require attention at once.
- Work independently and efficiently during solo shifts.
- Communicate operational issues promptly to management.
Team + Instructor Liaison
- Communicate student messages, concerns or account issues to the appropriate instructor or manager.
- Support instructors before and between classes when needed.
- Help enforce studio policies in a warm, confident and professional manner.
- Communicate clearly with other Studio Coordinators to ensure important information is passed between shifts.
- Contribute to a positive, respectful and accountable team environment.
Marketing + Social Media Support
- Assist with posting class reminders, events and studio promotions on social media.
- Repost tagged student stories and share content that reflects our vibrant studio culture.
- Help capture occasional behind-the-scenes studio content when appropriate.
Events
- Assist with the promotion and execution of showcases, workshops, fundraisers, Pride events and community pop-ups.
- Help with event setup, logistics and cleanup.
- Be a friendly and welcoming representative of AVA at studio and community events.
Required Qualifications
Please apply only if you meet the following requirements:
- Previous experience in a similar client-facing administrative, reception, hospitality, wellness, fitness or studio operations role is required.
- Excellent written and spoken English with the ability to communicate professionally with clients by email, phone, text and in person.
- Strong computer skills and confidence learning new booking, scheduling and point-of-sale software.
- Previous experience providing high-quality customer service.
- Comfortable discussing services, memberships and pricing with clients and making recommendations.
- Comfortable processing payments and working with client accounts.
- Excellent attention to detail and ability to accurately follow established procedures and checklists.
- Highly reliable and punctual with a strong sense of personal accountability.
- Able to work independently and remain productive without constant supervision.
- Strong organizational and time-management skills.
- Able to multitask and prioritize in a busy environment.
- Comfortable handling client concerns and occasionally difficult conversations calmly and professionally.
- Comfortable completing all cleaning and studio-maintenance responsibilities outlined in this posting.
- Must be available for all regularly scheduled shifts listed below.
Who You Are
You're warm, friendly and genuinely enjoy meeting new people — but you're also someone who gets things done.
You're the kind of person who notices that the garbage needs to be emptied, supplies need to be restocked or a client needs assistance and takes care of it without waiting for someone to tell you.
You're highly organized, proactive and detail-oriented. You can move between helping a student at reception, answering an email, processing a payment and preparing the studio for the next class without losing track of what needs to happen.
You're comfortable working independently and take ownership of your responsibilities.
You're also professional enough to have a friendly conversation with a student while still confidently communicating and enforcing a studio policy when necessary.
An interest in movement, wellness or the performing arts is a bonus — especially if you love pole, dance or aerial arts — but relevant professional experience, reliability and strong customer service skills are our priority.
Hours
We're currently hiring for the following regular shifts. Applicants must be available for all three shifts:
- Mondays: 4:00–9:00 PM
- Wednesdays: 4:00–9:00 PM
- Saturdays: 9:00 AM–2:00 PM
Additional on-call and coverage shifts may also be available.
