About the Role
We are seeking a capable, reliable, organized, and adaptable Project & Personal Support Coordinator to provide dedicated, full-time support to an active and engaged business owner.
This role is well suited to an early-career professional with a business background who is interested in gaining practical experience through close, day-to-day involvement in a variety of business and personal initiatives.
The role includes a mix of administrative, coordination, and hands-on support tasks, and requires a willingness to handle both routine details and more complex logistics. Success in the role requires a willingness to be helpful, dependable, and flexible, and to respond to changing priorities as they arise.
The role supports a broad range of owner-initiated projects and interests, both personal and business-related. It is distinct from corporate operations, which are managed by a professional management team. The successful candidate will work closely with the owner on project coordination, research, logistics, scheduling, and hands-on execution across a variety of initiatives.
This role is ideal for someone who enjoys variety, responsibility, and working closely with an engaged business owner in a support capacity.
Key Responsibilities
Project & Information Coordination
- Coordinate and track owner-initiated projects (both personal and business-related)
- Conduct research on equipment purchases, property opportunities, vendors, and services
- Liaise with suppliers, contractors, consultants, and trades
- Gather quotes, compare options, and prepare clear, well-organized summaries for review
- Track next steps and ensure timely follow-through to completion
Scheduling, Logistics, & Travel
- Manage and coordinate calendars, meetings, site visits, and inspections
- Assist with planning and logistics across multiple locations, including Salt Spring Island
- Coordinate travel arrangements and itineraries as required
- Maintain organized records of projects, decisions, and correspondence
Personal & Practical Support
- Provide hands-on assistance with errands, appointments, and day-to-day needs
- Drive the owner to properties, meetings, or appointments as required
- Coordinate personal services and act as a primary point of contact with third parties
- Organize and track payments and compile receipts for proper accounting
Property, Vehicle & Event Coordination
- Coordinate logistics related to the owner’s personal properties, including arranging access, coordinating stays, and scheduling cleaning services between guests
- Assist with arranging insurance renewals, servicing, and repairs for the owner’s vehicles
- Support the planning and execution of gatherings hosted by the owner, including managing invitations, tracking RSVPs, coordinating accommodations for attendees, and liaising with service providers as needed
General Support
- Communicate clearly, professionally, and effectively in both writing and in person with a wide range of stakeholders
- Exercise sound judgment, discretion, and confidentiality at all times
- Anticipate needs and respond quickly in a fast-moving, driven-owner environment
Ideal Candidate Profile
The ideal candidate:
- Has a post-secondary background in business or a related field, or equivalent practical experience
- Is interested in gaining practical experience through hands-on involvement and responsibility
- Is comfortable starting in a support-heavy role and understands that administrative and personal tasks are part of gaining experience and trust
- Is highly organized, dependable, and comfortable managing multiple priorities
- Is flexible with time and availability, including local travel and schedule changes as required
- Is self-directed, curious, and eager to learn
- Has strong interpersonal and communication skills, both written and verbal
- Exercises sound judgment, discretion, and professionalism
- Holds a valid driver’s license and is comfortable driving locally and to Salt Spring Island

Work Arrangement

Compensation
Salary Range: $60,000 – $70,000 per year, commensurate with experience
Additional considerations may include:
- Mileage reimbursement for work-related travel
- Flexibility in scheduling as a non-cash benefit
