Job Overview
We are seeking a detail-oriented and organized Clerical Support professional to join our team. This role involves providing essential administrative assistance to ensure smooth office operations. The ideal candidate will have strong computer skills, excellent communication abilities, and experience with various office software. This position offers an opportunity to work in a dynamic environment supporting front desk functions, data entry, and customer service.

Key Responsibilities -

Office Administration & Reception:

Answer and direct incoming phone calls in a professional and timely manner.
Greet visitors and coordinate visitor access in accordance with company procedures.
Collect, sort, and distribute incoming mail and internal communications.
Provide general clerical support across departments as required.

Documentation & Record Management:

Organize, update, and maintain both electronic and hard copy filing systems.
Ensure all documentation is accurate, current, and properly stored.
Maintain confidentiality when handling company records, financial documents, and sensitive information.
Draft, edit, and format reports, presentations, and internal documents as required.

Data Entry & Administrative Support:

Perform data entry tasks with a high level of accuracy and attention to detail.
Assist with invoicing processes and administrative review of purchase orders.
Support financial documentation flow through basic auditing and verification processes.
Maintain administrative trackers and records as required.

Coordination & Communication Support:

Provide clerical support for internal and external meetings including scheduling and preparation of materials.
Assist with coordination between staff, clients, and stakeholders.
Support general communication flow within the organization.

KNOWLEDGE, SKILLS, AND ABILITIES –

Knowledge:

Basic understanding of office administration and clerical processes.
Familiarity with documentation management and filing systems.
Understanding of confidentiality requirements related to company and financial information.
Exposure to ERP systems such as Epicor considered an asset.

Skills:

Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills.
High attention to detail in data entry and document management.
Ability to prioritize tasks and manage multiple responsibilities.

Abilities:

Maintain confidentiality and professionalism at all times.
Follow established procedures accurately and consistently.
Communicate effectively with internal teams and external visitors.
Adapt to changing priorities in a fast-paced environment.
Support multiple departments with clerical and administrative needs.

EDUCATION AND EXPERIENCE –

Secondary school diploma or equivalent required.
Post-secondary education in Business Administration or a related field considered an asset.
Previous experience in an administrative or clerical role considered an asset.
Experience in a manufacturing environment or with ERP systems such as Epicor considered an asset.

WORKING CONDITIONS –

Primarily office-based role with occasional interaction with the production environment.
Sitting: approximately 75–85% of the workday performing computer-based administrative tasks.
Walking: approximately 10–15% of the workday supporting coordination activities and moving between departments.
Standing: approximately 5–10% of the workday greeting visitors or supporting administrative tasks.
Extended computer use and repetitive keyboarding required.
Regular interaction with employees, visitors, and external stakeholders.
Capacity to manage frequent interpersonal interactions while maintaining professionalism and responsiveness.
Mandatory use of required personal protective equipment (PPE) when accessing the production floor.

Pay: $42,000.00-$50,000.00 per year
