Job Overview

We are seeking a detail-oriented and proactive Payroll & Invoicing Clerk to join our dynamic finance team. In this vital role, you will manage payroll processing, ensure accurate invoicing, and maintain precise financial records. Your expertise will help streamline our payroll operations and invoicing procedures, supporting the overall financial health of our organization. This position offers an exciting opportunity to contribute to a fast-paced environment where accuracy, efficiency, and compliance are paramount.

* Please note this is a part-time position of 3-5 hours per week, you MUST have some availability on Monday during the business day - every two weeks for payroll processing and you must be a Certified Bookeeping Professional in order to be considered for this role.

Responsibilities

Process payroll using various HRIS (Human Resources Information System) platforms such as Knit or ADP, ensuring timely and accurate payments for all employees.
Manage invoicing activities by generating, reviewing, and sending invoices through accounting software like QuickBooks or similar systems.
Perform data entry tasks related to payroll, accounts payable, and accounts receivable with precision and attention to detail.
Reconcile payroll and invoice data regularly to identify discrepancies and resolve issues promptly.
Maintain comprehensive records of payroll transactions, invoice histories, and account reconciliations for audit purposes.
Collaborate with human resources and accounting teams to ensure compliance with company policies and legal regulations related to payroll and invoicing.
Assist in month-end closing activities by preparing reports on payroll expenses and outstanding invoices for management review.

Qualifications

Must be a Certified Bookkeeping Professional
Proven experience working with payroll systems such as ADP and Knit is highly desirable.
Strong proficiency in accounting software including QuickBooks.
Knowledge of HRIS systems (Workday, HRIS) and time-tracking tools is preferred.
Demonstrated ability in data entry, account reconciliation, bookkeeping, and analysis skills.
Understanding of accounts payable and receivable processes within a corporate environment.
Excellent organizational skills with keen attention to detail to ensure accuracy in all financial transactions.
Ability to adapt quickly to new software systems and process changes while maintaining high standards of quality.
