Reports To

Accounting Manager

Summary

The Administrative Assistant is responsible for a wide variety of clerical office duties in support of company administration, including telephone reception, greeting and assisting visitors, vendors, and employment candidates. This position is also responsible for: data entry, maintaining filing and record systems, emailing and photocopying

Job Duties

Telephone reception
Greet visitors, respond to visitor inquiries and ensure visitors have signed in, prior to entering the plant.
Maintain the reception area in a tidy and presentable manner.
Order entry
Cross train for various office procedures such as mail/bank run, deposits, ordering office supplies, and invoicing
Ensure all forms and reports are completed as needed.
Filing of various documents
Performs other duties as required.

Requirements

High school diploma or GED, or an acceptable combination of education and experience.
General mathematical skills.
Adjusts and is flexible to meet changing work needs and demands in a fast-paced environment.
Excellent analytical and problem-solving skills.
Meticulous records maintenance skills.
Superior telephone manners and strong interpersonal skills.
Strong verbal and written skills to communicate with all levels of the organization and its executive team. Written skills require ability to do simple correspondence, including memos, letters, etc.
Strong customer service orientation.
Knowledge of general office procedures, supplies and equipment.
Strong knowledge of Microsoft Office products, including Outlook, Excel, and Word.
Able to maintain filing systems and basic databases.
Valid driver’s license
Work experience in a receptionist capacity is an asset
