Position Summary
The Maintenance Planner is a critical operational role within our Chilliwack facility, responsible for the coordination, scheduling, and procurement support that keeps plant maintenance running efficiently and reliably. Reporting to the Maintenance Manager, this individual ensures preventive maintenance programs are current, work orders are properly resourced and tracked, parts and supplies are procured on time, and contractors are managed effectively. The successful candidate is detail-oriented, resourceful, and thrives in a fast-paced food manufacturing environment.
Key Responsibilities
Ordering & Procurement
- Perform general supply inventory checks and maintain accurate inventory records
- Create and issue purchase orders; manage and update the supply ordering database
- Coordinate ordering cycles on a daily, weekly, and monthly basis for general and project-specific materials
- Generate non-stock material purchase requisitions to support work order completion
Preventive Maintenance
- Develop, implement, and maintain preventive maintenance programs across plant equipment and systems
- Build and sustain a tracking system for all preventive maintenance activities and schedules
- Conduct regular assessments of equipment performance and reliability; identify and escalate areas for improvement
Work Order Management
- Assign resources to work orders; review completed work orders for accuracy and completeness
- Maintain work order records including parts used, labour hours, and activity documentation
- Coordinate with the Maintenance Manager and production teams to prioritize maintenance activities based on operational needs
Planning & Scheduling
- Develop the weekly plant maintenance schedule by allocating manpower or contractors in coordination with the Maintenance Manager
- Estimate labour requirements for work order completion
- Interpret equipment schematics and collaborate with engineering teams to develop maintenance strategies for mechanical and low-voltage systems
Project Management
- Facilitate team planning meetings; develop project plans, schedules, and resource allocations
- Track and report on project status; communicate updates to relevant stakeholders
- Lead or support maintenance-related capital and improvement projects from initiation through completion
Contractor Management
- Assist in managing contractor relationships including initial scope definition, quote solicitation, and award
- Coordinate on-site contractor activities and ensure compliance with DFF safety and quality standards
Invoicing & Accounts Payable
- Manage the accounts payable process for maintenance-related invoices
- Verify invoices against purchase orders and work scope; resolve discrepancies with vendors
Budgeting & Cost Control
- Assist in managing the maintenance operating budget and capital cost tracking
- Perform cost analysis on maintenance activities and procurement decisions; identify savings opportunities
Record Keeping & Documentation
- Maintain electronic and paper filing systems for planning activities, asset history, equipment maintenance records, work orders, program documentation, and staff training records
- Create, review, and revise standard work documents including work instructions and preventive maintenance procedures
5S & Continuous Improvement
- Conduct and report on 5S audits within the maintenance area
- Support continuous improvement initiatives; apply best practices in maintenance planning and scheduling
- Maintain accurate maintenance parts inventory by ensuring timely system updates, performing regular cycle counts and period-end physical inventory counts, and reconciling discrepancies; recognizing that inventory accuracy directly impacts parts costs, financial reporting, and overall operational overhead
- Perform other duties as assigned
Position Requirements & Skills
- Minimum 5 years of experience in an industrial maintenance environment with strong mechanical and/or electrical aptitude
- Proven proficiency with Computerized Maintenance Management Systems (CMMS) for planning, scheduling, and work order tracking
- Demonstrated ability to build effective working relationships with maintenance personnel, vendors, suppliers, and management
- Proven leadership experience as both an individual contributor and active team member
- Ability to perform cost analysis and work within a structured budget
- Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced production environment
- Excellent problem-solving and troubleshooting skills with a logical, methodical approach
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with ERP or procurement systems an asset
- Familiarity with low-voltage systems, schematics, and logic controllers is an asset
- AEC / DEP, skilled trade certificate, or post-secondary education in a related field is preferred
- Must be legally entitled to work in Canada
Working Conditions
This role is based full-time on-site at our Chilliwack, BC production facility. The environment is an active food processing plant and may involve exposure to varying temperatures, noise, moisture, and production chemicals. The schedule is Monday to Friday, day shift, with occasional flexibility required to support plant operations or project timelines.
