C.G. Punjani Investments Ltd. is an established family office managing commercial real estate holdings, investment portfolios, and active operating businesses. We are seeking a structured and highly detailed Executive Assistant to serve as a central repository for administrative information, lead efficient office operations, and support executive leadership across our corporate and property entities.

Position Overview

This role serves as the central administrative hub for the executive team. You will drive day-to-day organization, maintain central records, manage calendars and meeting logistics, leverage productivity technology, and streamline real estate and business administration.

Key Responsibilities

Operations & Information Management:

Serve as the central repository for corporate, administrative, and property information, ensuring critical files, contacts, and records are structured and easily accessible.
Lead efficient day-to-day office operations, establishing streamlined administrative processes and maintaining smooth communication flow across teams.

Calendar & Meeting Logistics:

Proactively manage the CEO’s schedule, external meetings, and internal operational check-ins.
Organize agendas, prepare briefing materials, capture concise meeting minutes, and track action-item execution.

Real Estate & Property Administration:

Assist in organizing property documents, commercial lease files, tenant communications, and corporate contracts.
Support cross-functional tracking between real estate assets and operating business divisions.

Excel & Data Management:

Maintain routine financial trackers, executive reports, and corporate lists using intermediate to advanced Microsoft Excel.
Ensure document version control, folder organization, and clean digital archiving.

Tech-Enabled Workflow:

Leverage digital tools, AI-assisted productivity platforms (transcription/notes), and cloud software to continuously optimize office procedures.

Qualifications & Attributes

Experience: 3+ years in an Executive Assistant, Real Estate Assistant, or Operations Coordinator role, ideally within a family office or multi-entity business.

Technical Skills:

Strong Microsoft Excel skills (data validation, custom formatting, structured tables, basic formulas).
Tech-forward mindset with quick adaptability to modern productivity, meeting, and office management software.

Core Strengths:

Exceptional organizational abilities, sharp attention to detail, strong written/verbal communication, and complete discretion handling sensitive family office matters.

Pay: $65,000.00 per year
