Role Summary
The Procurement Specialist is responsible for managing the end-to-end procurement process for assigned projects, ensuring the timely and cost-effective acquisition of materials, equipment, and services required to support operations and project execution. The Procurement Specialist also serves as a key support resource to the Procurement Manager, assisting with procurement operations and assuming delegated responsibilities as required to maintain continuity of purchasing and supply chain activities.
Key Responsibilities:
· Lead the full procurement cycle for assigned projects, including sourcing, quotation analysis, purchase order creation, issuance, and order follow-up
· Source materials, equipment, and services from approved and preferred suppliers while ensuring competitive pricing, availability, quality, and compliance with technical specifications.
· Evaluate supplier quotations and negotiate pricing, delivery schedules, and commercial terms where appropriate.
· Establish and maintain positive supplier relationships to support operational and project requirements.
· Collaborate closely with Project Managers, Shop personnel, and Operation team members to forecast, plan, and execute material and service requirements.
· Participate in Bill of Materials (BOM) reviews to verify procurement requirements and ensure alignment with project scopes and schedules.
· Monitor project procurement activities to identify and mitigate potential supply chain risks and delays.
· Monitor material flow and proactively expedite orders to meet project timelines and prevent disruptions.
· Coordinate with suppliers, freight carriers, and internal stakeholders to resolve order discrepancies, delivery issues, and non-conformance concerns.
· Coordinate material returns in accordance with Return Material Authorization (RMA) processes.
· Assist with inventory counts, material verification activities, and reconciliation of procurement records.
· Maintain accurate and organized procurement documentation, including supplier quotations, purchase orders, technical specifications, delivery records, and supporting correspondence.
· Ensure procurement activities comply with company policies, procedures, and delegated authority requirements.
· Support audit readiness by maintaining complete and accurate procurement records.
· Act as a key support resource to the Procurement Manager by assisting with procurement operations and supply chain initiatives.
· Assume delegated procurement responsibilities as required to ensure continuity of purchasing activities during periods of absence or increased workload.
· Contribute to the development and implementation of procurement best practices and continuous improvement initiatives.
· Perform other duties and responsibilities as assigned to support departmental objectives, project requirements, and overall business operations.
Competencies & Qualifications Required:
· Diploma or Degree in Supply Chain Management, Business Administration, Procurement, Logistics, or a related field is considered an asset.
· Minimum 3–5 years of progressive procurement, purchasing, or supply chain experience, preferably within a project-based, industrial, manufacturing, construction, or energy environment.
· Experience sourcing technical materials, equipment, and services.
· Familiarity with inventory management and logistics coordination.
· Strong understanding of procurement principles, purchasing practices, and supply chain operations.
· Ability to read and interpret technical specifications, drawings, and Bills of Materials.
· Excellent negotiation, communication, and supplier relationship management skills.
· Strong organizational and time management abilities with a proven ability to manage multiple priorities.
· Proficiency with ERP systems, procurement software, and Microsoft Office applications.
· Strong analytical and problem-solving skills with attention to detail.
· Ability to work independently and collaboratively in a fast-paced project environment.
