Director of Travel Basketball (CMBA Liaison)
Organization: Airdrie Minor Basketball Association (AMBA)
Position Type: Casual Contract. Paid monthly from August to May.
Scope: All AMBA Travel Teams (U11–U18, Boys & Girls)
Reporting to: AMBA Board of Directors (with possible oversight from CMBA if necessary)
Time Commitment: Average 40 hours per month (Note: Seasonal peaks occur in Aug/Sept and March and average hours may fluctuate between 20-60)
The Role
AMBA is seeking a dedicated leader to provide full program oversight, professional direction and administrative integrity for our Travel program. This role manages the entire lifecycle of the travel season—from the first evaluation in August to the final year-end report in April.
This role is the "Front Line" of our competitive divisions, designed to ensure a fair, transparent, and high-quality experience for players and coaches. As the primary CMBA Representative, you serve as the bridge between AMBA and the Calgary Minor Basketball Association, you will be the face of AMBA to the league, ensuring our teams are placed correctly and our association remains in good standing. This position requires high-level coordination with internal staff and a constant, active presence in our coaching communication channels.
As the Director of Travel Basketball. You are responsible for insulating the Board from daily operational disputes by providing expert, independent conflict resolution and program management.
You will work in close, daily contact with the Director of Operations, Gym Scheduler, Volunteer Coordinator, and Player/Coach Development Coordinators to ensure a professional, high-standard experience for every player and coach.
Core Responsibilities1. Full Program Oversight, Evaluation Leadership & Logistics
- End-to-End Management: Oversee all travel teams (Boys and Girls, U11–U18) ensuring a consistent and professional experience across all age groups.
- Internal Liaison: Work in close, daily contact with the Gym Scheduler (to align venues) and the Volunteer Coordinator (to vet and place coaching staff).
- Evaluations & Team Building: Serve as a core member of the AMBA Evaluation Committee. Work with the Player/Coach Development Coordinator to helpplan and execute all pre-season evaluations and develop finalized rosters that are fair and defensible.
2. CMBA Representative & League Governance
- Primary Representative: Attend all (4) CMBA league meetings and the critical seeding meetings.
- League Approval & Oversight: This role must be approved by the CMBA. The league maintains oversight of this position and may request the AMBA President seek a more suitable candidate if league standards or "proper fit" requirements are not met.
- Committee Service: Serve on one or more CMBA committees (e.g., Seeding or Game Rules) to represent AMBA’s interests.
3. Real-Time Communication & Accountability
- WhatsApp Management: Maintain a consistent and active presence in the Travel WhatsApp chat. You are the second point of contact for real-time scheduling issues, and the first point of contact for coaching questions, or emergency game-day logistics.
- SLA Standard: Acknowledge and address all member concerns (emails/messages) within 24 hours.
- Year-End Accountability: Design and execute a comprehensive Year-End Member Survey. You will present these findings to the Board in a "State of the Program" report to measure success and identify areas for improvement.
- Meeting Participation: Attend at least 70% of committee meetings and the AGM to provide program updates.
Preferred Qualifications
- Basketball Expertise: Solid understanding of the game and previous experience in sports administration or coaching.
- Leadership & Professionalism: Ability to resolve disputes independently and professionally under pressure.
- Technical Proficiency: Mastery of SkillShark, spreadsheet management, and digital communication tools (WhatsApp, Email).
- Compliance: Must possess a clean Vulnerable Sector Check and reliable transportation. Possession of NCCP certification Learn 2 Train or higher and Safe Sport Certification are considered an asset. Standard CPR and First Aid considered an asset.
Estimated Timeline of Deliverables
- August: Evaluation planning, volunteer evaluator recruitment, and venue coordination with the Scheduler.
- September: Peak Activity. On-site evaluation management and roster finalization.
- September - October: Coaches’ meetings and season launch.
- Nov - March: Active WhatsApp monitoring, CMBA meetings/seeding, and conflict resolution.
- April - June: Launch Year-End Survey and present final performance report to the Board.
