TransCanada Turbines (TCT) is the sole authorized overhaul, repair and maintenance service provider for Siemens Energy and General Electric (GE) aeroderivative industrial gas turbines, serving an expanding international client base.

Due to a recent internal movement, TransCanada Turbines is actively looking for an Office Administrator/Receptionist to backfill this important position in our Airdire depot location.
Summary:
The Office Administrator serves as the first point of contact for visitors and is responsible for providing a welcoming, professional, and efficient experience that reflects positively on TransCanada Turbines. This role ensures that all visitors and stakeholders receive exceptional service and are consistently impressed by the responsiveness, professionalism, and attention provided while interacting with the company.
The minimum qualification requirement for this position is two (2) years of related experience, or an equivalent combination of education and experience that enables the individual to successfully perform the responsibilities of the role, as determined by the Team Lead, Advisory & Talent and the Manager, Projects.
Duties:
Duties may include but will not be limited to the following:
Office Administration/Human Resources (50%):
- Answer all incoming telephone calls and provide information to callers, take messages or transfer calls to appropriate individuals.
- Greet visitors and handle inquiries or direct them to the appropriate person according to their needs.
- Manage incoming and outgoing mail, eFax and courier items.
- Provide administrative support to the HR team by coordinating payment requests and maintaining accurate expense tracking records.
- Organize the Office team Safety Toolboxes on a bi-weekly basis.
- Monitor the use of office supplies and maintain adequate levels of inventory.
- Assist in the planning and preparation of meetings, conferences, and annual training days.
- Assist with the coordination of company events and employee functions.
- Administrative duties to include but not limited to, photocopying, faxing, and filing.
- Other duties as directed by Team Lead, Advisory & Talent and Manager, Projects.
Vendor Data Administration Support (50%)
- Ensure vendor updates provided by Vendor Coordinators are entered into ERP system in a timely manner.
- Assist Vendor Coordinators, where required, with the initial generation of OEM Purchase Orders for scrap replacement components.
- Adhere to strict ethical behavior at all times and immediately report any concerns to management.
- Increase knowledge of the HSE Policy and Manual and maintain a positive attitude towards the health and safety of myself and my coworkers.
- Take ownership of HSE issues and demonstrate enthusiasm and support for HSE.
- Other duties as directed by the Vendor Analyst, Manager or VP, Projects.
Qualifications and Experience:
- Proficient with Microsoft Office (Excel, Word, Outlook, Power Point).
- Detail oriented, strong organizational skills, prioritization, and time management skills.
- Work independently and productively.
- Motivation to multi-task and self-manage workload in a fast-paced environment.
- Strong communication skills both written and verbal.
- Excellent interpersonal and communication skills to work with internal and external clients.
The Office Administrator must represent TransCanada Turbines in a professional, polite, positive, organized, innovative and customer-focused manner, and ensure that all visitors are delighted with the level of responsiveness and attention they receive while in the care of the company.
The minimum training and/or educational requirement for this role is two (2) years related experience or a combination of education and experience that allows the individual to adequately perform the role, determined by the Director , Human Resources.
