Opportunity

Millennium Insurance is looking for a detail-oriented and service-driven Claims Administrative Assistant to join our high-performing team. In this essential role, you'll support the smooth processing of insurance claims and play a key part in delivering an outstanding customer experience. We are looking for someone who sees this as more than just an administrative role. The ideal candidate is curious, eager to learn the insurance business, and interested in growing their career within Claims. This position may offer exposure to claim handling processes and potential future opportunities in adjusting and other claims-related roles.

What you will be doing

As a Claims Admin Assistant, you’ll provide critical administrative support to the claims department. Your responsibilities will include:

Reviewing First Notice of Loss (FNOL) reports for accuracy and completeness.
Entering and maintaining claim data in internal systems.
Organizing incoming and outgoing claims mail (courier and regular).
Handling glass claims end-to-end: from FNOL to confirming coverage and guiding the insured through the process.
Communicating professionally with policyholders, claimants, and internal stakeholders.
Supporting claims payments, invoicing, and cheque handling.
Ensuring compliance with policies and industry regulations.
Suggesting process improvements and assisting with general office tasks as needed.
Providing day-to-day support to adjusters and management.
Other Duties as assigned.

What you bring to the team

High School diploma (or equivalent).
Prior experience in an administrative or clerical role (insurance industry experience is an asset).
Familiarity with insurance terminology and claims processes is a plus.
Strong organizational skills and attention to detail.
Excellent written and verbal communication.
Comfortable with Microsoft Office and basic computer systems.
Ability to prioritize in a fast-paced, high-volume team environment.
Customer-first mindset with professionalism and empathy.

Accurately process FNOLs and other documentation.
Keep files and claims information organized and up to date.
Maintain a professional, helpful, and solutions-focused approach with internal and external stakeholders.
