The Court and Justice Services (CJS) divsion provides a wide range of resolution and court services for people involved in legal disputes. In collaboration with the courts of Alberta, Court and Justice Services provide various programs and services including educating and helping Albertans finding solutions for legal issues, navigating the court system, offering programs at no cost or a nominal charge, and administrative support to all courts in Alberta.

Role Responsibilities

Lead with Integrity, Serve with Purpose: Join the Court of Justice team as a Senior Deputy Clerk and take on a vital role in ensuring the smooth administration of justice. If you’re a detail-oriented leader with a passion for upholding legal processes and supporting the judicial system, this opportunity is your next step toward making a meaningful impact in your career.

As the Senior Deputy Clerk, you will be a Senior leader that oversees the daily activity of the court operations and various areas including circuit court locations. You will be in a supervisory role ensuring the smooth delivery of operational matters, which organize and manage the court process. You will supervise staff, performing paralegal responsibilities. You will ensure that the staff are properly trained, qualified and is responsible for the assignment, control, and evaluation of their assigned team members.

Leadership is an integral aspect of this role as you will be required to lead by example, coach and influence others towards the achievement of organizational and developmental goals.

Your responsibilities include but are not limited to:

Responsible for overseeing the administration & coordination of the accurate data entry and processing of all pre & post court documentation as well as processing all fine, bail and restitution monies collected.
Ensure timely preparation of shift schedules for staff.
Participate in recruitment and selection of new staff, thereafter, provide training and guidance on all practices and procedures of the court documentation, including how to deal with telephone inquiries from lawyers, correctional facilities, probation officers, police agencies, Judiciary, the public, and other relevant stakeholders.
Overseeing the daily & monthly balancing process, sending appropriate documentation to central finance, and to prepare overage/shortage reports for management & central finance as required.
Establish performance standards and deliver progress reviews and formal performance appraisals.
Regular communication with Corrections, Police, Prosecution and Judiciary on matters of mutual concern.
Keep court manager informed of any procedural issues or potential problems.
Issue processes on behalf of the Deputy Clerk of the court as Non-Presiding Justice of the Peace.
Release accused on bail orders, explaining items and obligations to the accused.
Respond to numerous inquiries by telephone, email, fax, digital services, and in person regarding Court operations.
Conducts meetings with staff on a regular basis to discuss problem areas and to keep them abreast of management requirements and new initiatives.
Develops work procedures to enable staff to complete workload more efficiently and expeditiously within procedural guidelines. In consultation with Management, identify trends, and makes recommendations for areas of improvement in order to provide the best service to clients and stakeholders.
Leads and builds relationships to influence behaviour and change opinions of staff in order to meet business plans for the development and implementation of new organizational initiatives.

Qualifications

Required:

High school diploma and a minimum of six years of directly related experience, and the successful completion of the departmental Judicial Clerk training program.
A valid Driver’s License (Class 5) and a reliable vehicle are required for travel to circuit court locations.
This position will be requried to obtain non-presiding Justice of the Peace appointment. Canadian citizenship is required in order to obtain Justice of the Peace appointment.

Assets and preferences will be considered as follows:

Related post-secondary education will be considered an asset such as a Legal Assistant Diploma, Paralegal Certificate.
Experience with JOIN, CASES, FTR, Justice Digital applications such as Courtroom Digital Service and 1GX will be considered an asset.
Experience with accounting and/or finance is considered an asset.
Supervisory/management experience in an office setting is preferred. Please ensure acting experience is reflected on your resume.
Leadership experience is preferred (include examples on resume if you have chaired a committee, coached a colleague or lead a team, etc.).

Equivalency:

Completion of a Judicial Clerk training program and 5.5-years of experience.
Some workplace experience or education considered based on 1-year of experience for 1-year of education; or 1-year of education for 1-year of experience.

Hours of Work: 36.25 hours per week, Monday to Friday.
Overtime is often required with little or no notice as courts may run late.
Travel to circuit location may be required.
