Summary

The Customer Service Specialist supports customers by handling daily order entry, answering questions, resolving issues, and making sure orders are processed correctly from start to finish. This person works closely with customers and internal teams to address concerns related to shipments, returns, credits, deductions, and penalties. The role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Regular hours: Monday through Friday, 8:00 am - 5:00 pm

Responsibilities

Managing the processing of orders to support the operations and customer service team.
Order follow-up with customers as required e.g. informing backorders, revised PO, approvals.
Ensure a high level of processing and accuracy when entering customer orders
Assist customers with inquiries such as pricing and deliveries
Research discrepancies
Provide accurate information to clients
Work closely with consumers, internal and external customers, vendors, and sales agents
Administrative duties
Keep client databases up to date
Dealing with customer complaints
Issue Credits and /or debits to correct discrepancies on orders
Responsible for confirming return authorization to customers
Investigate Penalties charges and disputes
All other duties as assigned

Qualifications

Excellent oral and written communication skills in both official languages (English and French)
Previous customer service, order entry, or administrative experience preferred.
Experience handling credits, deductions, or penalties is a plus.
Strong data entry and computer skills, including experience with ERP systems and Microsoft Office.
Excellent verbal and written communication skills.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities in a fast-paced environment.
Problem-solving skills with the ability to handle customer concerns professionally.
Ability to work independently and collaboratively with cross-functional teams.
