Nature and Scope of Position
Providing administrative support to the Superintendent of Human Resources/Coordinator – by performing duties such as the coordination of workflow for the Superintendent’s portfolio, maintaining the Superintendent’s calendar and arranging meetings. Performing administrative duties as required by the Superintendent of Human Resources. Including (but not limited to)

Composing and processing letters, documents, tables, reports, etc., of a sensitive and confidential nature.

Preparation of materials as requested by Senior Administration and/or other team members involved in the process of grievances, compiling data and preparing statistical reports, correspondence, etc.; mailings to staff and other stakeholders; and maintaining accurate records.

Processing a variety of personnel actions using the Integrated Personnel/Payroll System (IPPS) accurately and expeditiously.

Providing information to staff regarding personnel-related matters.

Monitoring documentation related to employment matters for consistency with contractual stipulations.

Take minutes at Joint Union Management meetings and other meetings as required.

Initiating responses to inquiries both written and oral.

Supporting the Collective Bargaining process.

Compiling, analyzing data and preparing statistical reports.

Responding to inquiries received by telephone, e-mail and in person.

Responding to and preparing Freedom of Information Requests.

Reporting privacy breaches to the Privacy Commission.

Tracking departmental budgets.

Coordinating meetings including agenda preparation and recording of minutes.

Preparation and submission of Ministry of Education reports.

Additional duties as assigned.
Essential Skills and Qualifications
-
A minimum of a 3-year community college diploma or degree in Secretarial Administration/Business Administration/Human Resources with appropriate secretarial skills obtained through alternative education or experience; candidates with significant work experience considered equivalent to the educational requirement will be given consideration for this position.

A minimum of 3 years of experience in a secretarial or administrative assistant role, preferably in the public sector and/or a multi-union environment.

A minimum of 2 years experience in the Human Resources field.

Excellent organizational, communication, interpersonal and customer service-oriented beliefs and skills.

The ability to articulate and receive/present ideas effectively in oral and written form.
-
The ability to work well and communicate well with a variety of people both in the public and within the organization.

Ability to organize and prioritize work in an environment subject to changing deadlines, stress and interruptions.

Ability to work independently while demonstrating initiative, sound judgment, excellent communication skills, critical thinking and decision-making skills, strong job and task planning abilities, interviewing, counseling and interpersonal skills, as well as a high degree of discretion when dealing with confidential information.

Demonstrate full discretion when dealing with confidential matters and information.

Experience working in and/or knowledge of the educational system is a valuable asset.

A good working knowledge of the Board's policies, regulations and administrative procedures and Ministry of Education documents.

Proficiency in the following software applications: Word processing, spreadsheet, data management, electronic mail and other relevant software programs such as IPPS or other integrated personnel/payroll management system. Candidates may be tested.

This position may require the incumbent to rarely work outside the regular workday in order to effectively support and accommodate the demands of the Superintendent’s portfolio.
