Full job description

Southlake Ford Lincoln is looking for a Warranty Administrator to join our dynamic team!

We are seeking a Warranty Administrator who excels in organization, possesses impeccable attention to detail, and demonstrates a strong work ethic. This pivotal role involves crucial support in all warranty processing activities.

Job Duties:

Prepare and submit warranty claims and distribute them as necessary.
Review and verify warranty claims to ensure accuracy and compliance with manufacturer guidelines.
Maintain detailed records of all warranty claims, including documentation, repair orders, and parts replaced.
Reconcile warranty receivables with payments according to accounting schedules.
Resubmit rejected claims promptly or obtain authorization for write-offs.
Follow up on outstanding claim payments.
Communicate with manufacturers regarding claim status, discrepancies, and any required follow-up actions.
Track warranty parts by tagging them with repair order number, replacement date, and disposal date.
Coordinate shipping of parts to the factory or distributor, or arrange for disposal.
File and maintain service records as mandated by the warranty provider.
Stay informed about factory recalls, manufacturer warranty policies and procedures
Collaborate with Service Advisors/Technicians to ensure all required documents are complete before processing claims.
Ensure accurate information is recorded on Work Orders before claim submission.
Perform other duties as assigned by the Service Manager/Fixed Operations Manager.

Successful Candidates Possess:

Minimum high school diploma or equivalent.
Post-secondary education is preferred.
Valid driver's license with a clean driving record.
Previous experience in a warranty administration role within the automotive industry is preferred.
Proficient in MS Office Suite.
Proficient in using dealership management software and other relevant computer applications.
Strong knowledge of manufacturer warranty policies and procedures.
Problem-solving skills to quickly assess a situation and determine an appropriate and reasonable solution on time.
Maintains professionalism in all interactions.
You’ll prioritize organization and efficiency in your everyday tasks.
Experience in PBS/Reynolds an asset
