Glooscap First Nation and Glooscap Ventures are seeking a Human Resources Assistant to join our Human Resources Department.

The Opportunity
As the Human Resources Assistant, you will support the day-to-day delivery of HR services across Glooscap First Nation and Glooscap Ventures, with a strong focus on recruitment, onboarding, employee records, payroll support, training coordination, reporting, and general HR administration.
You will work closely with the HR Generalist and report to the Director of Human Resources & Policy, gaining broad practical experience across the employee lifecycle. You will also use ADP Workforce Now and other digital tools to support efficient, modern, and well-organized HR processes.
What You’ll Do
- Coordinate recruitment activities, including preparing and posting job advertisements, tracking applications, maintaining recruitment files, and supporting candidates through each stage of the hiring process.
- Screen applicants and participate in interviews; review resumes against position requirements; conduct initial candidate screenings; prepare interview materials; document outcomes; and support selection decisions.
- Work closely with hiring managers throughout recruitment to confirm staffing needs, coordinate interviews, provide candidate updates, follow up on decisions, and help maintain an organized and consistent hiring process.
- Manage pre-employment and hiring documentation, including reference checks, offer letters, employment documentation, candidate communication, and accurate recruitment records.
- Coordinate employee onboarding and orientation, ensuring new employees receive required documentation, orientation information, system-access support, and a welcoming introduction to Glooscap.
- Maintain accurate and confidential employee records, including personnel files, ADP Workforce Now employee information, employee lists, organizational records, and other Human Resources documentation.
- Support payroll and leave administration, organizing timesheets, approved leave information, employee changes, and other supporting documentation while helping maintain accurate information in ADP Workforce Now.
- Prepare HR correspondence, reports, and administrative documentation, including employment letters, forms, spreadsheets, tracking reports, meeting materials, templates, and routine departmental communications.
- Coordinate HR schedules and departmental activities, including interviews, orientations, training sessions, meetings, appointments, and other Human Resources initiatives.
- Support employee learning and development, coordinating registrations, schedules, attendance records, certificates, training documentation, and required follow-up.
- Administer employment funding documentation and reporting, supporting applications, participant records, eligibility documentation, claims, hours and expense tracking, reporting deadlines, and audit-ready files.
- Support digital innovation and continuous improvement within Human Resources, using ADP Workforce Now, Microsoft 365, digital forms, shared systems, automated workflows, and electronic records to improve recruitment, onboarding, reporting, document management, and administrative efficiency.
- Provide responsive day-to-day HR support to candidates, employees, managers, and colleagues, answering routine questions, following up on requests, protecting confidential information, and escalating complex or sensitive matters to the appropriate HR professional.

You are dependable, organized, comfortable managing multiple priorities, able to follow instructions, and willing to follow through to completion. You understand that good HR support requires professionalism, discretion, accuracy, timely communication, and sound judgment.
Qualifications
- Diploma or degree with a specialization in Human Resources.
- One to two years of Human Resources experience or experience in a closely related HR support, administrative role or recruiter.
- Strong organizational, administrative, and time-management skills.
- Strong written and verbal communication skills.
- Confidence communicating professionally with candidates, employees, hiring managers, and external partners.
- Strong attention to detail and the ability to maintain accurate records.
- Demonstrated professionalism, discretion, and respect for confidential information.
- Strong computer skills, including proficiency with Microsoft Office and comfort learning and working with digital systems.
- Experience with ADP Workforce Now or another HRIS/payroll platform is considered an asset.
- A willingness to learn, take initiative, follow instructions, and contribute ideas for improving HR services.

Working Conditions
- Term, full-time salaried position
- Standard business hours, Monday to Friday (Friday’s Remote)

Work Schedule: 37.5 hours per week, primarily Monday to Friday, 8:30 a.m. – 4:00 p.m. Some flexibility required to meet operational demands.
