Job Overview
Mike’s Landscaping is seeking an organized, proactive, and experienced Assistant to the General Manager – Landscape Operations to support the coordination of our landscape installation and maintenance divisions.
This is a key operational role for someone who understands the landscaping industry, is confident scheduling crews and resources, and enjoys keeping projects, people, and information organized. The successful candidate will work closely with the General Manager, field supervisors, crews, clients, suppliers, and subcontractors to help ensure work is properly planned, communicated, and completed on schedule.
The ideal candidate has three to five years of experience in landscaping, construction, operations, project coordination, or a related environment. Practical landscape knowledge is important, and strong plant identification and horticultural knowledge are definite assets.
Duties
- Coordinate daily and weekly schedules for landscape installation and maintenance crews.
- Assist with project planning and coordination from initial scheduling through completion.
- Communicate schedules, work orders, site information, and project changes to supervisors and field crews.
- Coordinate labour, equipment, vehicles, materials, suppliers, subcontractors, and deliveries.
- Adjust schedules based on staffing, weather, client requests, project progress, and material availability.
- Track production, labour hours, job costing, material usage, and key performance information.
- Monitor project progress and follow up on incomplete work, deficiencies, and outstanding service requests.
- Manage and prioritize emails, phone calls, client inquiries, and internal communications.
- Prepare reports, schedules, project documentation, meeting notes, and operational records.
- Maintain accurate project files, customer information, work orders, and supplier records.
- Assist with calendar management, meetings, site visits, and follow-up items for the General Manager.
- Help coordinate plant and material orders and confirm delivery requirements.
- Support quality-control follow-up, warranty work, plant replacements, and client concerns.
- Help improve office systems, scheduling processes, workflows, and internal communication.
- Complete occasional business-related errands throughout Muskoka.
- Provide additional administrative and operational support to the General Manager and leadership team as required.
Qualifications
- Three to five years of relevant experience in landscaping, construction, project coordination, operations, office management, or a related role.
- Experience coordinating schedules, crews, materials, equipment, or multiple job sites.
- Practical knowledge of landscape construction and property maintenance.
- Plant identification, plant-care, and horticultural knowledge are definite assets.
- Strong computer skills, including Microsoft Office, Outlook, Word, and Excel.
- Experience with LMN, scheduling software, work-order systems, or project management software is an asset.
- Ability to read work orders, landscape plans, site information, measurements, and project specifications is an asset.
- Strong organizational, time-management, and problem-solving skills.
- Ability to maintain confidentiality and exercise professional judgment.
- Valid Ontario G driver’s licence and reliable transportation.
