Position Summary
We are seeking a detail-oriented and proactive Paralegal / Legal Assistant to support the company's legal, compliance, and property management operations. The successful candidate will assist with eviction proceedings, tribunal appearances, regulatory compliance matters, permit applications, and rooming house-related issues. This role requires strong organizational skills, legal research abilities, and the capacity to work independently while managing multiple matters simultaneously.
Key Responsibilities
Evictions & Landlord-Tenant Matters
- Prepare, review, and file eviction applications, notices, and supporting documentation.
- Coordinate and manage deadlines related to eviction proceedings.
- Attend landlord-tenant tribunals, hearings, mediations, and administrative proceedings when required.
- Communicate with tenants, property managers, and legal representatives regarding ongoing cases.
- Maintain accurate records and case files for all tenancy-related matters.
Tribunal & Regulatory Proceedings
- Represent or assist the company in tribunal appearances where permitted by law.
- Prepare evidence packages, witness statements, and hearing materials.
- Monitor case outcomes and ensure compliance with tribunal orders and decisions.
- Coordinate with external legal counsel on complex legal matters.
Rooming House Compliance & Violations
- Assist in addressing rooming house licensing, operational, and compliance matters.
- Investigate potential bylaw, municipal, health, fire, and property standard violations.
- Liaise with municipal departments, inspectors, and regulatory authorities.
- Prepare responses, appeals, and corrective action documentation when necessary.
Permits, Licenses & Government Applications
- Prepare and submit permit and license applications for company properties.
- Track permit approval processes and follow up with government agencies.
- Ensure compliance with local, provincial/state, and federal regulations affecting property operations.
- Maintain records of permits, licenses, registrations, and renewal dates.
Legal Administration
- Draft correspondence, legal notices, affidavits, declarations, and other legal documents.
- Conduct legal and regulatory research as required.
- Organize and maintain legal files, contracts, and compliance records.
- Monitor legislative and regulatory changes that may impact company operations.
- Support management with risk management and compliance initiatives.
Qualifications
- Diploma or degree in Paralegal Studies, Legal Administration, Law Clerk Studies, or a related field.
- Licensed Paralegal (where applicable) or equivalent legal experience.
- Experience in landlord-tenant law, property management, housing regulations, or administrative law is preferred.
- Familiarity with tribunal procedures, eviction processes, and municipal compliance matters.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to handle sensitive and confidential information with professionalism.
Preferred Skills
- Experience with residential rental properties, rooming houses, and housing compliance regulations.
- Knowledge of permit, licensing, zoning, and municipal approval processes.
- Ability to work independently and manage multiple legal matters simultaneously.
- Strong attention to detail and problem-solving skills.
