We are seeking an organized, detail-oriented, and proactive Proposal Coordinator to play a key role in supporting Mantecon's continued growth. This position is ideal for someone who enjoys working in a fast-paced environment, collaborating with technical professionals, managing multiple priorities, and contributing directly to the pursuit of new business opportunities.
Reporting to the Office Manager, you will be responsible for coordinating proposal submissions, supporting business development initiatives, managing marketing resources, and helping position Mantecon for success in competitive procurement opportunities.

You will become a trusted resource within the organization, helping teams prepare compelling proposals, maintain marketing materials, and support business development efforts that contribute to Mantecon's growth.
What You'll Do
Proposal Coordination & Submission Management
- Monitor bid platforms and identify relevant project opportunities.
- Prepare bid qualification summaries to support Go/No-Go decisions.
- Coordinate and manage responses to RFPs, RFQs, EOIs, and other procurement opportunities.
- Develop proposal schedules and ensure all submission deadlines are met.
- Coordinate technical content with subject matter experts across multiple disciplines.
- Edit, proofread, format, and organize proposal content to ensure quality, consistency, and compliance with client requirements.
- Manage final proposal production, quality assurance reviews, and submission processes.
Marketing & Business Development Support
- Maintain and update project profiles, staff resumes, corporate information, and proposal resources.
- Assist with the preparation of presentations, qualification packages, and marketing materials.
- Support business development initiatives through research and opportunity tracking.
- Organize and maintain proposal databases, bid tracking systems, and marketing resources.
- Research procurement trends, proposal best practices, and market opportunities to support continuous improvement.
Team Collaboration & Administration
- Coordinate with Engineers, Project Managers, Principals, and subconsultants to gather information and develop submissions.
- Manage proposal-related documentation, insurance certificates, memberships, and mandatory forms.
- Support the ongoing development and maintenance of proposal and marketing processes.
- Participate in team meetings, planning discussions, and business development initiatives.
- Contribute ideas and improvements that enhance efficiency, quality, and proposal success rates.

What You'll Bring
- Diploma or Degree in Communications, Marketing, Journalism, Business Administration, English, Technical Writing, or a related field.
- Minimum 2 years of experience coordinating proposals, bids, or marketing submissions, preferably within engineering, architecture, construction, environmental, or consulting industries.
- Experience coordinating responses to RFPs, RFQs, EOIs, and procurement opportunities.
- Strong editing, proofreading, formatting, and document management skills.
- Advanced proficiency with Microsoft Office, particularly Word, PowerPoint, and Excel.
- Experience with Adobe Creative Suite, including InDesign, is considered an asset.
- Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Excellent written, verbal, and interpersonal communication skills.
- Experience working within the engineering, architecture, or consulting industry is strongly preferred.
- Demonstrated ability to work independently while collaborating effectively within a team environment.

Pay: $60,000.00-$80,000.00 per year
