POSITION OVERVIEW
Position: Executive Assistant/Marketing | Full Time | Salaried Employee
Reporting to: President
The Executive Assistant provides high-level administrative support to the President and leadership team while assisting with coordination across office operations, project teams, and internal initiatives. This role focuses on executive scheduling, communication, document preparation, and project level administrative coordination to ensure the efficient flow of information and activities within the organization.
DUTIES & RESPONSIBILITIES
- Provide high-level administrative support to the President, including calendar management, scheduling meetings, and coordinating travel arrangements as needed.
- Prepare executive correspondence, project documentation, presentations, and marketing materials.
- Coordinate meetings with agendas, take minutes, and track follow-up actions to ensure accountability.
- Assist with special projects and administrative initiatives led by the President.
- Support timely and professional communication with internal and external stakeholders.
- Ensure professional, organized, and timely administrative support across departments as needed.
- Assist with reception functions, including greeting clients, mail, courier services in partnership with the Office Manager.
- Support ad hoc and special projects.
- Assist with additional personal tasks as needed to support the executive’s efficiency and productivity.
- Manage social media platforms & develop content for social platforms.
- Coordinate with the website team to complete updates & add new content.
- Assist in coordination with Office Manager / HR in planning & staffing career fairs and potentially trades shows.
- Design and maintain high-quality templates for proposals, brochures, and marketing materials, ensuring consistent brand presentation.
- Coordinate photo shoots of completed projects with customer, design team and photographer.
- Assist in preparing weekly project reports from project dashboard & maintain project dashboard.
- Coordinate purchase orders, subcontractor agreements, and invoices to ensure projects stay on budget and approvals are completed on time.
- Draft and coordinate construction documents and correspondence with trades, vendors, and Site Superintendents.
- Track project timetables, follow up on outstanding items, and assist with timely execution of deliverables.
REQUIREMENTS & QUALIFICATIONS
- 2+ years of experience as an Executive Assistant and/or Office Administration
- Excellent verbal and written communication skills.
- Excellent organizational, time management and problem solving.
- Proven ability to collaborate well and be a team player.
- Proficient in Microsoft Office including Outlook, Word, Excel, and PowerPoint.
- Experience working with a tenant improvement general contractor is considered an asset.
- Positive out going attitude with a desire to learn & achieve a high level of professionalism.
SALARY EXPECTATIONS
- Base Salary $50K to $55K depending on previous experience.
- Discretionary yearly bonus.
- Laptop and all required software provided.

- Work related mileage reimbursed monthly.
