Program Manager – BabyGoRound Helping Families Society
Summary:
BabyGoRound is a Lower Mainland based non-profit organization dedicated to serving low-income and vulnerable families by providing essential baby gear that ensures every child has the necessary items for a safe and healthy start in life. Since 2012, BabyGoRound has supported more than 14,000 families, by collecting gently used baby gear from the community and then working with over 200 referral service agencies to identify the most vulnerable families that need essential support.
Overview:
Reporting to the Director of Operations, the Program Manager (PM) will oversee the day-to-day of BabyGoRound’s (BGR) programs. The PM will have the opportunity to help shape and enhance the effectiveness of our programs. This role is instrumental to the program delivery by providing a safe and welcoming environment in conjunction with essential baby gear to the vulnerable families we support. Joining BGR means working in a collaborative and dynamic work environment; this position is key in fostering that culture of teamwork and shared commitment to our mission. PM requires delivery of in-person services at our Kingsway location, and occasionally our Cloverdale location. The last Saturday of each month BGR hosts a 4 hour “Donation Day” with one staff member, alternating supervision based on availability.
The position is a part-time position (15-20 hours per week), on-site at our 2939 Kingsway location. Hours being 9:30am – 2:30pm, Tuesday through Thursday with the possibility of adding Monday or longer days, depending on candidate preference.

Job Description:
Our successful candidate will play an important role in ensuring our program’s workflow is kept on schedule, maintaining effective communication amongst the program team members. Key responsibilities will include but are not limited to:
1. Program Management
● Lead the client (family) management: including the processing referrals and scheduling of appointments and tracking post-appointment follow-up data.
● Answer/respond to phone and email program related (care@) and gear donation (donategear@) enquiries; including, responding to donor inquiries, coordinating next steps - whether connecting them with a Community Champion or arranging pickup.
● Greet and interact with families who arrive at the store front for their appointment.
● Greet and interact with donors who arrive at the store front.
● Step in to support client appointments in the absence of the Family Support Worker(s).
● Work closely with the Family Support Worker (FSW) to support the facilitation of bundle pick-ups and in-person appointments.
● Follow-up with families who no-show in a timely manner.
● Work closely with the Director of Operations to provide volunteer support and oversight in her absence: including providing appointment paperwork for the next day’s bundles,
scheduling and training. Working closely with the appropriate team members with regards to the Community Volunteer Network.
● Work with volunteers to ensure bundles are correctly prepared for the next day’s appointment, the storefront is well stocked and attractively displayed.
● Oversee day-to-day facility needs, including supply orders, organization of shared spaces, and general tininess/upkeep.
● Support inventory management and forecasting; including, organization, redistribution (e.g., agency bundles) or disposal of unsuitable gear.
● Support the Family Support Workers and volunteers on processing donated gear/items: ○ Receive gear donations; includes ensuring items are in good working condition before accepting them and tracking the receipt of the donations for inventory management.
○ Prepare gear for distribution; check parts, safety straps, verify recalls, ensure cribs have printed instructions and clean items as necessary.
○ Source parts, manuals or other OEM components from gear manufacturers.
● Maintain the case management system and data, ensuring efficiency and impact.
● Develop and maintain spreadsheets to track program output and trends and provide monthly reporting of data to appropriate staff members for social media and newsletters.
● Provide support in the development/analysis of various reports to effectively measure program outputs and social impact. Conduct trend analysis to identify gaps in service.
2. Internal Support
● Act as the Vancouver office team lead in the absence of the Director of Operations.
● Work closely with the staff team to identify and improve program systems and processes.
● Support the Client Services Manager in management of referral agency relationships.
● Work closely with the Director of Operations as a thought partner to identify, develop and launch complementary resources, providing additional supports to families.
● Participate in internal meetings, trainings and events; leading portions of monthly staff meetings.
● Work closely with the staff team on the development and maintenance of manuals, operational guides, and procedures.
● Provide consultation to identify and explore avenues to increase collection of gently used baby gear.
● Provide office equipment and IT support/troubleshooting as necessary.
● Participate in community events or occasional gear drives outside of regular hours.
● Provide other administrative support as assigned.

● Minimum of 3-5 years of program mngn’t experience, preferably in the non-profit sector.
● Experience in program development, management and evaluation.
● Proven ability to effectively engage with members of vulnerable communities.
● Knowledge and experience using data management software as well as Google Suites.
● Willing to do what is necessary to ensure the smooth running of the program and interaction with various stakeholders.
● Post-secondary education in social services or psychology is an asset.
