Summary
We are seeking an Operations Support Specialist to join our team. This role is vital in ensuring the smooth operation of our parking services and supporting our mission to deliver seamless parking experiences for our customers.The Operations Support Specialist provides comprehensive operational, administrative, project, facilities, security, procurement, and stakeholder support to the Region 1 Operations team.
The role serves as a central coordination resource responsible for supporting operational initiatives, facilities management activities, signage and wayfinding programs, security administration, vendor management, reporting, dashboard development, procurement coordination, project execution, and special event operations.
This position acts as a force multiplier for the Operations Management Team by coordinating day-to-day operational activities, tracking projects, maintaining operational records, managing communications, supporting business continuity initiatives, and ensuring timely execution of departmental priorities.
The successful candidate is highly organized, entrepreneurial, technically proficient, and capable of managing multiple priorities in a fast-paced environment with minimal supervision. They possess exceptional communication skills, strong business acumen, and the ability to adapt quickly to changing operational requirements.
This role is expected to provide operational support during evenings, weekends, special events, emergencies, and other periods of increased operational activity.
Schedule: Sunday - Thursday : 2pm - 11pm
Key Responsibilities
Operations Administration & Department Support
- Provide administrative and operational support to the Operations Manager and Regional Operations team.
- Coordinate operational meetings, agendas, action items, and follow-up activities.
- Maintain departmental calendars, project schedules, and operational work plans.
- Prepare reports, presentations, briefing notes, operational updates, and correspondence.
- Maintain departmental records, policies, procedures, and documentation.
- Track operational initiatives and ensure accountability for assigned deliverables.
- Assist with budget tracking and operational expenditures.
Security & Facilities Administration
- Support administration of EasyPark's security programs and vendor relationships.
- Coordinate security incident tracking, reporting, and trend analysis.
- Assist with security audits, risk assessments, and compliance reviews.
- Maintain security documentation, training records, post orders, and operational procedures.
- Coordinate contractor access, key management, access control requests, and security-related projects.
- Assist with fire safety, emergency preparedness, business continuity, and risk mitigation initiatives.
- Support facilities management projects and capital improvements.
Procurement & Vendor Management
- Coordinate procurement activities and vendor sourcing initiatives.
- Obtain and evaluate vendor quotations.
- Assist with RFP, RFQ, and procurement documentation.
- Track vendor contracts, service agreements, warranties, and renewals.
- Monitor vendor performance and service levels.
- Coordinate contractor scheduling and project implementation.
- Support inventory management and asset tracking.
Signage, Wayfinding & Site Infrastructure
- Manage signage inventory and deployment programs.
- Coordinate design, production, installation, maintenance, and replacement of operational signage.
- Develop site maps, signage layouts, and wayfinding plans using AutoCAD or similar software.
- Conduct site inspections and identify signage deficiencies.
- Coordinate urgent signage replacements and project deployments.
- Maintain signage standards and documentation.
Project Coordination & Special Initiatives
- Coordinate operational projects from initiation through completion.
- Maintain project plans, schedules, dashboards, and milestone tracking.
- Facilitate project meetings and stakeholder communications.
- Support implementation of operational improvements and business initiatives.
- Assist with FIFA, PNE, Playland, special events, seasonal operations, and major project deployments.
- Coordinate cross-functional activities between Operations, Client Services, Enforcement, Maintenance, IT, and Finance.
Data Analytics & Reporting
- Develop and maintain operational dashboards and reporting tools.
- Analyze operational datasets to identify trends, risks, and opportunities.
- Prepare KPI reports and management summaries.
- Support revenue protection and operational performance initiatives.
- Utilize ERP systems and business intelligence tools to improve operational visibility.
- Create meaningful operational metrics and visual reporting tools.
Communications & Stakeholder Relations
- Draft professional communications for clients, vendors, stakeholders, and internal teams.
- Prepare presentations, reports, newsletters, and operational updates.
- Coordinate communication regarding operational projects and service disruptions.
- Support stakeholder engagement initiatives and client communications.
- Maintain a high level of professionalism when representing EasyPark.
Operational Coverage & Special Events
- Provide management support during evenings, weekends, and special events.
- Attend operational meetings, client events, site visits, and project deployments.
- Respond to operational issues requiring escalation and coordination.
- Support business continuity and emergency response activities.
- Participate in event planning and operational readiness exercises.
Qualifications & Experience
Education
- Diploma or Degree in Business Administration, Project Management, Communications, Marketing, Operations or Facilities Management, Public Administration, Engineering Technology, Urban Planning or a related discipline.
- Equivalent combination of education and experience may be considered.
Experience
- 3–5 years experience in operations, facilities management, property management, transportation, logistics, or project administration.
- Experience with procurement and vendor management.
- Experience supporting operational projects and initiatives.
- Experience developing dashboards and reporting tools.
- Experience working with ERP systems.
- Experience using AutoCAD, Bluebeam, GIS, or similar design software preferred.
- Experience within municipal, transportation, parking, facilities management, property management, or public-sector environments considered an asset.

Pay: $55,000.00-$60,000.00 per year
