Position summary
Reporting to the practice investigation manager, the administrative coordinator is responsible for supporting the activities of the registrar in collaboration with the director, complaints and practice investigations, as it relates to matters concluded by the registrar under the Health Professions and Occupations Act. This position works closely with the deputy registrar, complaints and practice investigations, the other department administrative coordinators, and members of the Investigation Committee in performing these important statutory requirements.
Duties and responsibilities
Duties include but are not limited to the following:
Committee coordination and file management
The administrative coordinator will primarily be involved with low and moderate risk complaint matters that are reviewed and disposed of by the registrar, or their delegate. These files are referred to as “registrar reviews” by the department. The administrative coordinator is responsible for:
- reviewing and formatting complaint file dispositions that are ready for approval by the registrar, or their delegate
- drafting cover letters and consent notices for complaint files where the disposition requires the consent of the subject licensee
- distributing draft dispositions to department staff and contractors for review and feedback prior to their release to the subject licensee(s) and complainant
- drafting memorandums such as suspension and termination orders as required for the Investigation Committee
- tracking the status of complaint dispositions, before the registrar, to ensure that all required legislative steps are completed; including consent, notice to the Investigation Committee, management of disciplinary orders
- liaising with case administrators on outstanding consent actions for assigned complaint files
- liaising with other administrative coordinators to provide notice of registrar review files to the Investigation Committee
- providing administrative support where needed for the Investigation Committee including booking meeting rooms or videoconferences, inviting and confirming attendance of guests, and arranging necessary scanning and distribution of handouts, agendas, and minutes
- collecting, reporting and monitoring metrics as requested
- distributing, collecting, collating and analyzing evaluation data
Project management
The administrative coordinator’s duties include:
- assisting with the coordination and management of projects within the complaints and practice investigations department
- scheduling meetings with College of Physicians and Surgeons of BC (CPSBC) staff and maintaining updated project plans and action logs
- conducting post-project evaluations of CPSBC staff or other relevant individuals to assess effectiveness of change
- providing summary reports to the department leadership team upon completion of the project
Skills and qualifications
Required skills and qualifications include:
- post-secondary education with training in administrative/secretarial practices or an equivalent combination of education and experience
- a minimum of two years of related experience is required
- knowledge of CPSBC policies and procedures is an asset
- ability to type 60 wpm and operate a normal range of office equipment
- intermediate knowledge level of Microsoft Office and Adobe software that includes word processing, spreadsheet, presentation and database applications, email and scheduling applications
- interpersonal and organizational skills, effective oral and written communication with accuracy and attention to detail
- ability to compose correspondence using business English
- ability to exercise tact and discretion when handling sensitive and/or confidential matters
- demonstrated ability to multi-task and prioritize, work under pressure and to meet deadlines
- ability to work both independently and within a team environment
The compensation range for this position is $60,689 to $75,831 per year.
