ABOUT THE PROGRAM
CMHA BC Division is looking for a Program Administrative and Communications Assistant with excellent organizational, project management, and communications skills to assist with a range of duties for mental health promotion programs that help individuals and families better prevent and manage mental health and substance use problems. The Program Administrative and Communications Assistant reports to the Leader, Health Promotion and Education. Please note that this is 7.5 hours a week (0.2FTE) casual position.
ABOUT THE JOB
Responsibilities include but are not limited to:
- Maintains and updates website content.
- Helps draft engaging, accessible content, including promotional material, print, and digital formats for a range of audiences.
- Supports the editing and proofreading of stories, articles, and other communications materials.
- Ensures materials follow organizational guidelines for accessibility, inclusivity, and plain-language writing.
- Supports the team with conducting interviews for articles and developing stories that highlight the impact of the organization’s work.
- Assists in coordinating and processing CMHA’s bursary and scholarship program that supports young people with mental health and substance use challenges to return to higher education.
- Helps prepare administrative paperwork to help supervisor and Finance team disburse bursary and scholarship funds or honoraria for people with lived experience sharing stories.
- Supports supervisor in correspondence with various interest-holders including volunteers, award recipients, and colleagues at partner agencies.
- For occasional meetings, drafts minutes for review and circulation by supervisor.
- Tracks website analytics and performance and helps provide this data for reports.
- Assists with print production and coordinating distribution, ensuring materials are available for various initiatives and events.
- Assists with following up with partners including tracking their materials and evaluation metrics.
- Performs other administrative, communications and coordination duties as required.
ABOUT YOU:
Education and Experience:
- Grade 12
- Office Administration Certificate or Communications Marketing Certificate.
- Experience writing, editing, and posting public-facing content in a non-profit environment, a strong asset.
- Experience of procedures involved in administration of grants, awards or bursaries, a strong asset.
- Recent, related experience of one year or an equivalent combination of education, training, and experience.
- Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
Knowledge/Skills:
- Excellent interpersonal, written, and verbal communication skills.
- Excellent project management, time management, and organizational skills, including attention to detail and ability to work remotely, meet deadlines, and solve problems creatively.
- Interest, knowledge, or experience working in health and social service sectors, ideally in the non-profit sector.
- Interest, knowledge, or experience working with concepts of equity, diversity, and cultural safety.
- Ability to manage schedules and coordinate multiple tasks simultaneously.
- Familiarity and comfort with MS Office platforms as well as confidence learning new software or apps, including website content management systems.
- Ability to work remotely with team members.
- Lived experience related to mental health and/or substance use problems is considered an asset.

WORKING CONDITIONS
- This is a casual, 7.5-hour-a-week position.
- Most work is accomplished during the usual 9am - 5pm business hours. Any overtime must be approved in advance.
- This position is based out of either the CMHA BC Vancouver or Victoria offices. A combination of working from home and working from office is available.
- The Program Administrative Assistant is a unionized position under the Health Services and Support Community Subsector Association. The hourly rate of pay is $26.27-$27.99. CMHA BC will collect union dues on behalf of the Health Sciences Association.
