￫ OFFICE ADMINISTRATOR FOR CALGARY, ALBERTA

Job Details

Job type: Full-time

Schedule: Monday to Friday, 8:00 a.m. - 4:30 p.m.

Location: In person - Calgary, AB

Pay: Competitive, based on experience — discussed at interview

Job Overview

We are looking to hire an OFFICE ADMINISTRATOR for the Calgary office, to keep our operations running smoothly by

providing administrative assistance to office staff, site teams and management.

The key job duties are:

- Welcoming and directing visitors

- Answering and directing phone calls

- Managing agendas, travel plans, and appointments for upper management

- Managing the meeting room schedule

- Managing emails, letters, packages, phone calls and other forms of correspondence

- Creating and updating databases and records

- Tracking and replenishing office and kitchen supplies as needed

- Managing utility accounts

- Supporting bookkeeping procedures, such as tracking credit card receipts and scanning documents

- Supporting site teams with supplies and printing drawings

- Submitting hours to the benefit hour bank plan

- Submitting timecards to subcontractors for billing

- Taking on additional HR and accounting support duties as experience in the role grows

- Assisting co-workers as required

- Handling other clerical duties, such as maintaining organized digital and physical records and filing systems

Knowledge and Skills

- Experience in standard office procedures

- 2+ years' experience working as a receptionist, front desk coordinator or in a similar role

- Knowledge of Microsoft Office and other office management tools and applications

- Ability to perform with minimal supervision and in a team environment

- Exceptional communication skills, both verbal and written

- Reliability, punctuality, consistency and ability to follow directions

- Positive attitude with strong interpersonal skills
