Operations Specialist

Company Overview:

We have a proven Executive and Management team with expert industry knowledge in logistics, marketing, and transportation.

Pivotal is seeking a Operations Specialist to join our growing team in Calgary. This is a full-time, in-office role.

The Operations Specialist is accountable for supporting safe, reliable and financially disciplined performance across the company’s operating assets. The role connects field execution, facility performance, project delivery, financial analysis and regulatory compliance.

Working closely with operations team and reporting to the Director of Operations, the Operations Specialist will identify and deliver practical optimization opportunities, improve business processes and provide clear facility-level operational and financial visibility.

Key Responsibilities:

Facility Operations & Performance

· Support facility operations across all company assets, with a focus on safety, reliability, throughput, product quality and cost control.

· Monitor long term operating performance, investigate variances and coordinate corrective actions with operations team and internal stakeholders.

· Develop and maintain facility performance indicators and operations reports and support action plans.

· Manage asset retirement program, identify optimal candidates and execute projects

Optimization & Business Improvement

· Support operations team to identify, screen and advance facility optimization opportunities to improve capacity, reliability, product recovery / quality, energy efficiency or operating cost.

· Maintain a healthy pipeline of optimization projects supported by clear business cases.

· Evaluate and improve business processes, workflows, controls and reporting practices.

· Identify, plan and execute digitization and data optimization projects.

· Work with other departments to integrate operations data into their processes where applicable.

Financial Planning & Economic Evaluation

· Prepare and maintain facility-level financials.

· Manage monthly operational accruals and support accurate, timely period-end reporting.

· Build and run IRR models for capital and optimization opportunities.

· Track project and operating expenditures against approved budgets and communicate emerging risks or opportunities.

· Work with operations team to build forward looking budgets and revise quarterly.

Project Management

· Support facility expansion & optimization projects from concept and scope definition through engineering, procurement, construction, commissioning and closeout.

· Develop project schedules, cost estimates, execution plans, risk registers and stakeholder communication plans.

· Coordinate contractor management, engineering, and vendor support while working with field operations to maintain safe execution and operational continuity.

· Track and ensure projects achieve defined scope, schedule, cost, performance and documentation requirements.

Regulatory, Product Quality & Documentation
· Oversee corporate regulatory compliance, support facility-level regulatory needs, submissions, inspections, commitments and compliance tracking.

· Support product quality specifications monitoring, sampling and testing records.

· Investigate product-quality issues, coordinate corrective actions and confirm effective closeout.

· Support and organize audits, document management and retention.

Field & Stakeholder Interface

· Maintain presence with field teams and build productive working relationships across operating sites.

· Facilitate project planning, problem solving and optimization workshops with operators and supervisors.

Preference will be given to candidates that have the following qualities/skills:

· Post-secondary degree or diploma in engineering, business, operations, finance, technology or a related discipline; an equivalent combination of education and relevant experience will be considered.

· Typically 5+ years of progressive experience in facility operations, project management, asset optimization or a related industrial environment.

· Demonstrated experience managing projects in active operating facilities.

· Strong financial and commercial capability, including budgeting, forecasting, accruals and project economic/IRR modelling.

· Working knowledge of regulatory compliance, operational documentation and product-quality management.

· Proficiency with software and the ability to turn operational and financial data into clear recommendations.

· Experience in energy infrastructure, terminals, midstream, processing or a comparable asset-intensive business is preferred.
