POSITION IDENTIFICATION
JOB TITLE: Fabrication Division Manager DEPT: PCF

POSITION SUMMARY
To develop and expand Process Custom Fabrication Inc. services by directing the development of a profitable business in the Institutional, Commercial, and Industrial (ICI) sectors of the market place including the organization and staffing of the Division.
Key duties and responsibilities in brief form:
I. Division Management & Administration to develop and implement Company Objectives and the Fabrication Division Business Plan.
II. Sales Estimating activities to ensure that the Fabrication Division sources out and successfully bids enough ICI tender work to meet and surpass sales and return on sales targets.
III. Operations management duties which will involve staff planning as well as hands-on estimating and project management in concert with staff assignments.
JOB DUTIES AND RESPONSIBILITIES (EXPANDED)
Division Management & Administration
1. To effectively manage and control the organization / recruitment / dispatch of all supervision, labour and equipment and the procurement / delivery of all materials required to respond to and execute all work assignments; this includes the proper structuring of the fabrication division reporting and operational procedure to effectively liaison with the other Process Group member companies.
2. To manage all commercial aspects of the Fabrication Division operations in liaison with Process Group administration including the timely review and approval of payroll (weekly), payables, job costing and billings.
3. To supervise and direct the resolution of job performance difficulties with customer accounts relating to scope of work, contract value for work performed and receipt of payment, and with labour relating to productivity.
4. To review monthly financial statements of the Fabrication Division together with asset utilization, job costing, payables and receivables records to detect and react to unfavorable results, to identify any incorrect information, and to take the necessary steps to maintain correct business conduct and reporting.
5. To submit quarterly reports evaluating the performance and key indicators of the
Fabrication Division compared to Company objectives and the Business Plan
Outline; reporting shall identify strengths and weaknesses and make recommendations as appropriate.
Sales Estimating
1. To pursue and obtain tender specifications of plans and spec project bid inquiries, manage and direct the preparation of cost estimates pursuant to the conditions of the tender specifications, manage sub-trade and vendor pricing, supervise and carry out the necessary takeoff and related estimating extensions, and manage the proper closing and submission of quotation proposals, all in compliance with Company
Practices and Procedures and Quality Assurance Manuals.
2. Work with other Process Group sales, marketing and estimating personnel to update corporate promotional literature and experience statements.
3. Work with Process Group company sales & marketing personnel to develop a sales program for classifying and targeting current and potential customers. This will include the selection and use of marketing and promotional avenues such as:
a) Telemarketing and Phone Solicitation; b) Direct Mail (intro / response letter); c) Corporate promotional material; d) Presentations to owners / engineers / vendors; and e) Networking through Industry Associations.
Liaison with the Process Group Technical Sales Representative should take place on a weekly basis to ensure an integrated approach to selling the services of the
Company while minimizing duplicated efforts.
4. Follow up with customers.
5. Identify and enhance the perceived image of the Process Group of Companies by customers and community.
6. Assist in setting Division sales goals and return on sales targets. Initial targets will be:
- SALES in the $5 million range based on the current operations
- GROSS MARGIN before dept and admin expenses in the 25-35% range; and
- NET RETURN expectations of 5% before taxes.
It is anticipated that the sales mix will be some larger projects and the rest of the work comprised of smaller projects.
7. Ensure that marketing and sales solicitation efforts are consistent with and supportive of the Process Group’s overall business plan.
8. Manage accounts to ensure prompt payment in full.
9. Assign estimating duties to individual estimators and to self as required.
Operations
1. To ensure the Fabrication Division operates in compliance with corporate Quality
Assurance guidelines and Corporate Safety Policy and Program procedures.
2. To conduct performance evaluations and resource analysis of Fabrication
Division personnel, make recommendations for advancement, training or disciplinary action, and for recruiting requirements to properly staff operations.
This will require the development of a steady workforce of 10-20 tradesmen with a sufficient number having supervisory capability
3. Direct management of individual projects / contracts on a preassigned basis or where it is in the best interests of the Company.
SKILLS AND QUALIFICATIONS a) Must be able to organize the various functions for which his / her position is responsible.
Must be a detailed person. This position requires discipline, diplomacy, initiative, and persistence. b) Must be able to resist stress created by unequal work loads and maintain a persistent and pleasant disposition with clients, management, field and office employees. c) Requires a strong industry knowledge. d) Working knowledge of computerized reporting systems is essential. e) Computerized estimating skills is considered as asset. f) Proven ability to generate sales and manage customers. This position will require the self generation of leads which may include cold calling. g) The ability to manage people and to work closely coordinating with other Process Group companies, departments and individuals will be a requirement. h) Ability to manage commercial aspects of the Division including a working knowledge of financial indicators.
PERFORMANCE INDICATORS a) Compliance with Division Business Plan. b) Customer satisfaction as indicated by follow up phone calls and the level of repeat and referral business. c) Labour morale and utilization. d) Sales levels and returns on sales in excess of those prescribed by Process Group Senior
Management. e) Estimate or Request for Service turn around time.
