Ontario Parks Association, a charitable organization that provides park-related training and advocacy in the province of Ontario, has an immediate opening for a full-time 1-year temporary Training Coordinator. This position reports to the Executive Director or Designate and the Board of Directors.
As part of our three-person office staff, you will work 35 hours a week Monday through Friday from 8:30 am to 4:00 pm with a half-hour unpaid lunch, some evenings and weekends may be required. This position will work a hybrid model with some time required in our office which is in a beautiful heritage building located by the river in downtown Galt, Cambridge (walking distance to L.A. Franks). We are offering a rate of $30.00/hour. Deadline for applications is September 4th, 2026.
DUTIES AND RESPONSIBILITIES
Education and Training
● Principal contact person responsible for coordinating the education and training programs.
● Coordinate all aspects of education programs including marketing; contacting potential participants; location and room booking/setting up online training; organizing AV requirements; coordinating with instructors; registration; participant lists; confirmations; post program reporting; correspondence; file maintenance, certification of training completion, etc.
● Prepare all training materials for instructors/trainees (course pre-work, course handouts, PowerPoint presentations, post-training materials, collect and monitor training feedback & evaluations).
● Responsible for the ongoing development and maintenance of the association training records, files, archives, databases, directories, etc.
● Maintain and monitor training databases, flag when certifications are due to expire and proactively contact trainees/supervisors when update courses are available.
● Validate and process invoices and payments, monitor/follow-up on Accounts Payables/Accounts Receivables for training and events.
● Provide analytics related to the Parks sector training needs and trends
● Proactively work with and engage stakeholders in identifying, developing and launching new local, regional and online initiatives.
● Promote and develop a road map for members to achieve the Parks Practitioner Program Certification
● Promote all training programs through social media and other targeted streams
● Monitor the inventory and ordering of training materials.
● Manage the association training website including content writing and updating information.
Other Administration and Operations Functions
● General clerical duties – telephone answering, emails, filing, mail distribution.
● Assist the office manager in the day-to-day operations of the association through the provision and maintenance of efficient office procedures and services.
● Provide program and project related support to the Office Manager and to the Board of Directors, its committees and special task forces by assisting with the delivery of services to members.
● Promote membership to Ontario Parks Association
● Assist in updating membership information in database, annual membership renewal, including invoicing.
● Assist in preparation and distribution of promotional and marketing materials.
● Assist in all aspects of delegate and exhibitor registration functions for OPA managed seminars and conferences.
● Assist, attend and participate in all OPA and OPA Foundation events.
QUALIFICATIONS AND SKILLS
● Must be self-driven, have excellent organizational skills and an extremely good eye for details, be able to work well under pressure and handle multiple tasks and changing priorities.
● Working knowledge and hands-on experience with computer programs such as Word, Excel, PowerPoint, Publisher, Adobe Acrobat, Google Docs, and database programs.
● Working knowledge of QuickBooks and/or Wild Apricot would be an asset.
● Excellent telephone manner, customer service, and communication skills.
● Strong interpersonal skills.
● Ability to work independently or as part of a team.
● Must enjoy working in a small office environment.
COMPENSATION
● $30. per hour
