Dispatcher / Service Coordinator

Westisle Heating & Cooling
Courtenay, BC
Full-Time | Monday to Friday

Westisle Heating & Cooling is looking for an organized, customer-focused Dispatcher / Service Coordinator to join our growing team.

As the communication hub between our customers, technicians, and management, you'll play a key role in keeping our daily operations running smoothly. This is a fast-paced position that requires excellent communication, strong organizational skills, and confidence using computers and dispatch software.

Responsibilities

Schedule and dispatch residential and commercial service calls.
Book preventative maintenance appointments and residential sales estimates.
Coordinate repair appointments and follow up on jobs waiting for parts.
Answer customer calls and emails professionally.
Create and maintain customer records, work orders, and estimates.
Process customer payments and assist with invoicing.
Support technicians with scheduling, communication, and daily coordination.
Provide outstanding customer service while helping resolve scheduling and service-related concerns.

Qualifications

Minimum 2 years' experience in dispatching, customer service, or a similar administrative role.
Strong computer skills with the ability to quickly learn and confidently use software such as Service Fusion, Microsoft Outlook, Word, and Excel.
Excellent organizational, communication, and multitasking skills.
Ability to remain calm and professional in a fast-paced environment.
Experience in the HVAC, plumbing, electrical, or construction industry is considered an asset.
