Summary

We are seeking a reliable, detail-oriented Accounts Payable & Office Administrator to join our team. This position is responsible for managing accounts payable functions while supporting day-to-day office administration. The ideal candidate is organized, accurate, and able to work independently in a fast-paced environment.

Accounts Payable

Process vendor invoices and ensure timely payments
Match invoices to purchase orders and supporting documentation
Reconcile vendor statements and resolve discrepancies
Maintain accurate vendor records
Process credit card receipts and expense reports
Assist with month-end reporting and reconciliations

Office Administration

Answer phones and direct inquiries
Maintain filing systems and company records
Provide general administrative support to management
Prepare and distribute correspondence, reports, and other documents as required
Assist with data entry and maintaining accurate records

Qualifications

2+ years of accounts payable, bookkeeping, or office administration experience
Strong attention to detail and accuracy
Proficiency with Microsoft Office, particularly Excel
Experience with QuickBooks, Simply Accounting (Sage 50), or similar accounting software
Excellent organizational and communication skills
Ability to prioritize multiple tasks and meet deadlines
Professional and positive attitude
Ability to work independently and as part of a team
