Full job description

Position Summary

The Administrator is a senior leadership position responsible for providing strategic and hands-on operational leadership across Tiny Tots Early Years Centres. Reporting directly to the Owner, the Administrator leads and supports Centre Directors and advances organizational growth, workforce development, service excellence, and continuous improvement to ensure a positive experience for children, families, and employees.

Key Responsibilities

Leadership & Organizational Management

Provide leadership, supervision, coaching, and accountability to Centre Directors, supporting their performance, professional growth, and leadership development.
Conduct regular Centre visits to understand operational needs, maintain strong relationships, and provide practical support to Directors and employees.
Support Centre Directors in setting priorities, addressing operational challenges, and achieving performance objectives.
Foster a positive, collaborative, and accountable organizational culture aligned with Tiny Tots’ mission, vision, and values.
Establish organizational goals, priorities, and operational plans in collaboration with the Owner.
Lead the implementation of organizational initiatives, new programs, and improvements that support growth, quality, and operational excellence.
Ensure consistent implementation of organizational policies, procedures, and standards while recognizing the operational needs of individual Centres.
Provide guidance on complex operational, staffing, family, and compliance matters.
Support organizational planning, expansion, and long-term sustainability.

Operations & Service Delivery

Oversee day-to-day operations across all Centres to ensure safe, effective, and high-quality service delivery.
Monitor and analyze key operational measures, including enrolment, occupancy, staffing, attendance, expenses, and service quality.
Support Centre Directors in managing operational priorities, including enrolment, waitlists, staffing, scheduling, and coverage.
Promote consistency in program quality, service standards, family experience, and Centre operations.
Identify and lead improvements to systems, processes, and operational practices that strengthen efficiency, quality, and organizational performance.
Support positive onboarding experiences for new families.
Respond to significant operational issues, emergencies, complaints, and matters requiring senior leadership involvement.

Human Resources & Workforce Planning

Provide leadership and guidance to Centre Directors on recruitment, onboarding, retention, employee relations, performance management, and workforce planning.
Support workforce attraction and immigration-related recruitment strategies and processes.
Coach Centre Directors in effective people leadership, performance conversations, and the management of workplace concerns.
Support succession planning, leadership development, and professional development across the organization.
Promote employee engagement, wellness, accountability, and a positive and respectful workplace culture.
Oversee organizational performance review processes.
Monitor staffing levels, workforce needs, scheduling, and educator-to-child ratio compliance across all Centres.
Lead organizational responses to complex employee relations, attendance, performance, and workplace matters.

Financial & Administrative Oversight

Collaborate with the Senior Leadership Team on budgeting, forecasting, financial planning, and organizational reporting.
Monitor operational performance against budgets and key performance indicators, including enrolment, revenue, expenses, and other operational targets.
Support accurate and effective payroll, billing, purchasing, and administrative processes.
Review operational and financial reports to identify trends, risks, and opportunities for improvement.
Promote cost-effective operating and purchasing practices without compromising service quality.
Support government reporting and funding submissions.

Family, Community and Stakeholder Relations

Build and maintain positive relationships with families, government departments, community organizations, and other external partners.
Support Centre Directors in addressing complex family concerns, complaints, and service issues.
Support family engagement and communication initiatives across all Centres.
Represent Tiny Tots professionally within the early childhood sector and broader community.
Promote a positive organizational reputation and strong community partnerships.

Compliance, Quality & Risk Management

Ensure compliance with applicable licensing, legislative, regulatory, accreditation, and organizational requirements.
Lead the consistent implementation of health and safety, emergency preparedness, and risk-management practices across all Centres.
Support Centre Directors in preparing for licensing inspections, audits, and quality-assurance reviews.
Investigate and respond to significant incidents, complaints, and organizational risks, ensuring appropriate follow-up.
Promote accountability and continuous improvement in safety, compliance, and service quality.
Ensure accurate and consistent documentation, reporting, and record-management practices across all Centres.

Qualifications

Bachelor’s degree in Business Administration, Human Resources, Early Childhood Education, Public Administration, or a related field is preferred. An equivalent combination of education and relevant experience will be considered.
Early Childhood Education certification is considered an asset.
Knowledge of the PEI early learning and childcare environment, including applicable licensing and regulatory requirements, is considered an asset.
Knowledge of and commitment to the PEI Early Learning Framework.
Current First Aid and CPR certification, or willingness to obtain certification within a specified period following appointment.
Satisfactory criminal record and vulnerable sector checks.

Required Experience

Minimum of five years of progressive leadership or management experience.
Demonstrated experience leading operations and supporting multiple teams, locations, departments, or operational units.
Experience recruiting, supervising, coaching, and developing employees and leaders.
Experience with budgeting, workforce planning, performance management, and organizational change.
Experience in childcare, early learning, education, healthcare, human services, or another regulated, people-focused environment is considered an asset.
Experience with licensing, regulatory compliance, quality improvement, or government reporting is considered an asset.

Working conditions

This is a multi-site leadership position requiring regular travel between Tiny Tots Centres across Prince Edward Island.
Work is performed through a combination of office-based duties and regular on-site presence in active childcare environments.
The position involves frequent interaction with employees, families, senior leadership, and external partners.
Occasional work outside regular business hours may be required to respond to operational needs, significant incidents, meetings, or urgent matters.
Regular use of technology is required for communication, reporting, and operational management.

Pay: $75,000.00-$100,000.00 per year
