A Medical Office Assistant (MOA) plays a critical role in supporting healthcare professionals and ensuring the smooth functioning of a medical office or clinic. They are responsible for both administrative and clinical tasks, which help deliver quality patient care and maintain efficient office operations.
We are currently seeking to fill the position of Medical Office Assistant for a speciality clinic. This is a permanent, full-time position based on 37.5 hours per week (Monday-Friday/8am-4pm).
Key Responsibilities:
1. Administrative Duties:
- Greet patients, answer phone calls, and provide information or assistance as needed.
- Schedule and manage patient appointments, follow-ups, and cancellations.
- Verify patient information, insurance coverage, and eligibility.
- Maintain electronic and paper medical records, ensuring accuracy and compliance.
- Handle billing and insurance-related tasks.
- Manage office supplies, order inventory, and maintain an organized workspace.
2. Clinical Duties:
- Prepare examination rooms for patient visits, ensuring cleanliness and proper equipment availability.
- Assist healthcare providers during patient examinations, procedures, and treatments.
3. Patient Interaction:
- Create a welcoming and reassuring environment for patients.
- Escort patients to examination rooms and prepare them for their visit.
- Address patient inquiries and concerns with professionalism and empathy.
- Provide patient education materials and instructions as directed by healthcare providers.
4. Communication:
- Act as a liaison between patients, healthcare providers, and other medical staff.
- Coordinate referrals to specialists, hospitals, or other healthcare facilities.
- Relay messages and information accurately and promptly.
- Maintain effective communication within the healthcare team.
5. Medical Coding and Billing:
- Familiarity with medical coding systems for accurate billing and claims processing.
- Assist in preparing and submitting insurance claims.
Qualifications:
- High school diploma or equivalent
- Graduate of a recognized medical office assistant program with practical experience or experience in a specialty practice is ideal
- Strong organizational and multitasking skills.
- Excellent interpersonal and communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Knowledge of medical terminology, procedures, and basic clinical skills.
- Ability to maintain patient confidentiality and adhere to healthcare privacy laws.
