Job Summary

We are seeking a proactive and detail-oriented Property Administrator to join our dynamic team. In this vital role, you will oversee the daily operations of property management, ensuring smooth communication between tenants, vendors, and internal teams. Your energetic approach will help maintain property standards, facilitate efficient administrative processes, and enhance overall tenant satisfaction and enforcing bylaws. This position offers an exciting opportunity to develop your skills in property management while contributing to the seamless functioning of our properties.

Responsibilities

Manage property records, ensuring accurate data entry and up-to-date filing of all lease agreements, maintenance logs, and tenant information
A strong knowledge of bookkeeping and proficient with Quickbooks Online is a must
Coordinate maintenance requests and service schedules through a Computerized Maintenance Management System (CMMS), tracking work progress and completion
Serve as the primary point of contact for tenants, vendors, and contractors via phone and email, providing exceptional customer service with professional phone etiquette
Assist in lease negotiations and renewals by preparing documentation and communicating effectively with tenants and prospects
Support office operations by handling administrative tasks such as filing, scheduling appointments, and managing correspondence
Maintain organized records of property-related documents and ensure compliance with company policies and legal requirements
Collaborate with sales teams to promote available properties and assist in customer relationship management efforts to foster positive tenant relationshipsExperience
Prior experience in office administration or property management is preferred but not required; we value enthusiasm and a willingness to learn
Familiarity with Yardi or similar property management software is highly desirable
Demonstrated ability to handle data entry accurately while maintaining attention to detail
Strong organizational skills with experience in filing systems and record keeping
Excellent communication skills, including negotiation and customer service experience
Basic knowledge of CMMS platforms or willingness to learn new technologies
Proven ability to manage multiple tasks efficiently in a fast-paced environment
