Volkswagen Chatham is hiring an Office Manager!
The Office Manager, reporting to the General Manager and Group Controller, is responsible for the overall management of the accounting and administrative functions of the Dealership. Processes and generates accurate financial data for all dealership departments and the dealer principal/general manager. The Office Manager oversees all accounting office and administrative functions.

In the position of Office Manager, you will be responsible for:
Financial Statements:
Supervises and prepares all financial information to produce an accurate and complete financial statement according to retailer's guidelines and the network's format and timeframe.
Is able to communicate effectively and clearly with the General Manager and other executives and department managers, all categories on the financial statement. Is able to provide detailed and concise answers for all numbers on the financial statement.
Submits the financial statement to the Manufacturer.
Reconciliations:
Monthly bank reconciliation
Parts account reconciliation
Regularly reconciles select schedules such as all car inventories, accounts receivables, car receivables, sublet accounts, reserve accounts, payable accounts, and warranty receivables.
Posts and reconciles bank curtailments on inventories.
Administration and Payroll:
Enters new employee in Payroll system
Prepares a semi-monthly payroll, exports it to the bank and then exports it into DMS and reconciles all entries.
Prepares and submits all ROEs (records of employments) electronically
Prepare and submits all T4's to employees and CRA
Working with Sales Department and Finance Office:
Has a thorough understanding of finance and lease contracts, after sale warranties, and CPO warranties.
Ensure flooring is reconciled and paid per group/manufacturer policies
Processes all remittances as required (eg. insurance)
Understands all general ledger accounts required to record a car deal through to accounting
Working with Service and Parts Department:
Understands dollar per RO, efficiency, productivity, goodwill, comebacks and warranties.
Understands month end work in progress and how idle time is determined at month end.
Understands special orders, work in progress, inventories and reconciling parts inventories
Audits warranty receivables and insures payment.
Working with Reception and Cash Control:
Supervises and is responsible for all cash coming into the dealership and leaving the dealership.
Works with reception to trouble shoot any out of balances, application of payments and reconciliation of customer accounts.
Checks monthly cash account to make sure it balances and to reconciles differences.
Other
Keeps copies overall capital expenditures and prepares monthly spreadsheet and posts depreciation.
Determines prepaid expenditures and amortizes and posts throughout the year as necessary.
Has accurate documentation for month-end and year-end balances.
Timely submissions for HST, Source deductions, Corporate Taxes, RRSP payments, EHT and WSIB remittances
Reviews and oversee collection of past due accounts
Ensures all receivables are collected within 45 days
Compiles information and prepares reports as requested by the Group Controller and/or General Manager
Position Requirements:
Accounting Experience – minimum of 2 years required
Dealership Experience – minimum of 1 year (an asset)
Post-Secondary education, preferably in Accounting
Proficient in Word, Excel and Outlook
PBS and/or payroll system experience (an asset)
