Labour & Admin Coordinator
Reports To: Production Manager
Compensation: $50,000–$60,000/year

Position Summary
Provides administrative and labour-management support to the Production Manager and Supervisors — coordinating hiring, timesheets, staffing records, training, and daily KPI reporting from the cells.
Key Responsibilities

Coordinate the interview and hiring process for frontline roles — scheduling, screening, candidate communication, interview reporting and offer paperwork.

Support onboarding of new staff, including coordinating training on tasks, health & safety, and other new-hire requirements alongside Supervisors and Cell Leads.

Support day-to-day coverage adjustments in partnership with Supervisors.

Process timesheet approvals and flag exceptions to the appropriate Supervisor for sign-off.

Maintain Attendance and Vacation planning, overtime sign-up sheets.

Write and revise Health and Safety related SOPs and perform trainings.

Collaborate with Supervisors for Health and Safety related topics.

Ensure availability of PPEs.

Maintain frontline staffing records — certifications, training completion, attendance history, and disciplinary tracking.

Act as a central point of contact for frontline staff on scheduling and administrative questions.

Consolidate daily reports from the Production Leads for KPI reporting.

Track and enter inventory data where required, for example spare parts maintenance.
Qualifications & Experience

Experience in an HR coordinator, scheduling, or labour administration role, ideally in a manufacturing or production environment.

Strong organizational skills and comfort managing a high volume of scheduling and administrative detail.

Discretion handling confidential staffing and personnel information.

Comfortable consolidating and reporting on data from multiple sources (e.g. Cell Lead daily reports, inventory records).
Demonstrates confidence and professionalism when communicating with employees at all levels, from new hires to Supervisors, recognizing that this role interacts with nearly every individual within the building.
