Job Overview

The Executive Assistant and Communications Officer supports the Chawathil Administrative Officer’s office and helps prepare clear, accurate communication materials for members, staff, and the broader community.

This is a full-time regular position, with some weekend and evening work as required.

Key Responsibilities

Executive Assistant

Respond to general inquiries, welcome visitors, direct calls, and support day-to-day front office communication.
Organize and maintain records, reports, contact lists, filing systems, incoming mail, and assigned email.
Support office coordination, supplies, basic bookkeeping tasks, expense reports, and general administration.
Review incoming documents and help identify next steps, follow-up, or who should be involved.
Provide administrative support to the Chawathil Administrative Officer, staff, visitors, and community members.

Communication Officer

Prepare, edit, and format clear communication materials for members, staff, and the community.
Create and edit basic graphics, layouts, notices, newsletters, and digital materials.
Support internal communications, social media, website, app, and other digital communication updates.
Help ensure communication materials are accurate, respectful, timely, and easy to understand.

Knowledge, Skills and Abilities

Commitment to following Chawathil First Nation’s Ways of Working.
Strong computer skills, including Microsoft Office, email, document formatting, and general digital tools.
Experience using Adobe Pro, Canva, social media, or similar communication and design tools is an asset.
Strong writing, editing, proofreading, organization, and attention to detail.
Able to communicate clearly and respectfully with staff, leadership, members, visitors, and external contacts.
Able to manage multiple priorities, deadlines, and confidential information with sound judgment.
Understanding of First Nation community settings, culture, and protocols is an asset.

Education & Experience

High school graduation or equivalent.
Certificate or diploma in office administration, communications, business administration, or a related field is an asset.
Two to three years of experience in administration, communications, First Nation government, office support, or a related area is preferred.
Experience preparing newsletters, posters, notices, social media posts, or other communication materials is an asset.
Experience working with First Nations, Indigenous organizations, or community-based organizations is an asset.
An equivalent combination of education, training, lived experience, and work experience may be considered.

Other Requirements

Valid driver’s licence and access to a reliable vehicle.
Ability to successfully complete a criminal record check.
Commitment to following Chawathil First Nation policies and procedures.

Preferred

Indigenous ancestry, especially Chawathil First Nation or Stó:lō Nation membership.
Experience working within First Nations communities.

The position pays $25.00 per hour with full benefits and 2 weeks paid vacation.

The position will remain open until filled.
