Chilliwack Bowls of Hope Society is a local nonprofit organization committed to alleviating child hunger and promoting food security in our community. Through our “Feed the Children” program, we provide more than 1,100 hot, nutritious meals every school day to local students in need. Our mission extends beyond feeding children — we are also deeply engaged in sustainable food practices, community partnerships, and reducing food waste through innovative collaboration.
Position Overview
Chilliwack Bowls of Hope is seeking a detail-oriented and community-minded individual to join our team as a Part-Time Bookkeeper / Administrative Assistant on a one-year contract. This position plays an important role in supporting the organization’s daily financial, donor, and administrative operations while helping us continue to deliver impactful food security and school meal programs.
This role is ideal for someone who is organized, adaptable, compassionate, and comfortable working independently while contributing to a collaborative team environment.
Key Duties & Responsibilities
Bookkeeping & Financial Administration
- Post and maintain all financial transactions within QuickBooks Online
- Process payroll within QuickBooks Online
- Complete Accounts Payable and Accounts Receivable processes
- Complete credit card reconciliations
- Complete monthly bank reconciliations
- Prepare and process bank deposits
- Create and issue invoices
- Maintain accurate financial records and supporting documentation
- Prepare financial information and reports for the Finance Manager, Executive Director and Board as requested
- Process and track financial donations
- Track and record in-kind and food donations
- Prepare and issue charitable donation receipts in accordance with CRA requirements
- Support year-end financial preparation and external audit processes
- Ensure organized and confidential financial record keeping
- Support month-end and year-end financial preparation and external audit processes
- Support Executive Director to prepare grant applications and reports
- Support Finance Manager and Executive Director with other duties as necessary.
Database & Donor Administration
- Complete donation entry and donor database management through Keela
- Prepare monthly donation and fundraising reports
- Maintain accurate donor and supporter records
- Respond to donor inquiries in a professional and timely manner
- Assist with donor stewardship and acknowledgment processes, including thank you letters and receipts
Administrative Support
- Receive and direct emails and phone calls to appropriate staff members
- Assist with scheduling, document preparation, and general office coordination
- Maintain organized digital and physical filing systems
- Support administrative tasks related to volunteers, programs, and events as needed
- Assist with supply ordering and office organization
Communications Support
- Assist with updating and engaging on Instagram, Facebook, and the organization website on an as-needed basis
- Support communication efforts related to fundraising campaigns, events, and community engagement initiatives
Qualifications & Skills
Education, Training & Experience
- Minimum 3 years of bookkeeping and administrative experience, preferably within a nonprofit or charitable organization
- Post-secondary diploma, certificate, or equivalent experience in bookkeeping, accounting, administration, or a related field
- Experience supporting small teams or community organizations is considered an asset
Job Skills & Abilities
- Proficiency with QuickBooks Online
- Knowledge of CRA nonprofit and charitable organization accounting practices
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- High level of accuracy and attention to detail
- Excellent verbal, written, and interpersonal communication skills
- Ability to maintain confidentiality and handle sensitive information with professionalism
- Self-motivated, dependable, flexible, and solution-oriented
- Comfortable working independently in a fast-paced nonprofit environment
- Familiarity with Microsoft Office and basic social media platforms
Compensation & Benefits
- Wage range: $27–$30/hour based on experience
- Approximately 20 hours per week
- Two (2) weeks paid vacation annually
- Additional paid time-off during the annual December office closure
