You are the first person pet parents see when they arrive and the last person they speak with before their pup heads home happy, and you set the tone for their entire experience with us.

About the Role As Client Services Coordinator:
You own the front desk — from the moment a client arrives or calls through the moment their pet departs. You are accountable for the accuracy, efficiency, and professionalism of every client interaction. You'll follow well-established procedures, keep meticulous records in our booking system, and work hand in hand with our kennel team and Client Experience Manager to make sure every guest and every family is well cared for. It's a hands-on, people-first role with clear expectations and the training and support to meet them.
What You'll Do:
- Welcome every client and pet — greet warmly, answer service and policy questions, and help families choose the right boarding, daycare, grooming, and bathing options for their pet.
- Own check-ins and check-outs — verify reservations, vaccination records, feeding and medication instructions, enrichment selections, and emergency contacts; complete required agreements; photograph and label belongings; and prepare boarding cards so every guest is set up for a great stay.
- Manage reservations — create, modify, and cancel bookings, maintain waitlists, schedule appointments, and follow up on any missing information.
- Handle client communication — answer calls promptly, respond to texts and emails, return voicemails, send confirmations and updates, and document important conversations.
- Process payments accurately — take payments and deposits, verify and explain invoices, and balance front-desk transactions.
- Keep records accurate — maintain complete, up-to-date pet and client profiles, and make sure boarding cards and the booking system always match.
- Run a guest-ready reception — open and close per procedure, keep the space clean and organized, maintain supplies, and keep retail displays current.
- Keep the team in the loop — notify kennel staff of arrivals and departures, relay medication, feeding, and schedule changes, and raise anything that needs a manager's attention right away.

- Comfort with technology — you're at ease on a computer and quick to learn new software, including scheduling and records systems (we provide full training).
- A calm, service-minded approach — you keep things running smoothly and make every client feel genuinely taken care of.
Experience in customer service, reception, hospitality, veterinary, or pet care is a strong plus. That said, a great attitude, dependability, and a willingness to learn matter most — we'll teach you the rest.
Systems You'll Use
We'll train you on everything you need, including our booking and pet-records platform (Gingr), payment processing, our phone, text, and email systems, and Connecteam for scheduling and team communication. Comfort with standard office software — email, filing, and scanning — is helpful.

Schedule & Working Conditions
- Full-time — four 10-hour shifts per week, with a 1-hour unpaid break each shift OR five 8-hour shifts per week, with a 30-minute unpaid break each shift.
- Our facility is open Monday to Saturday, 8am–6pm, and Sundays and holidays, 9am–5pm; shifts are assigned per our schedule, and availability across weekdays and weekends may be required.
This is an active, hands-on role. You can expect to be on your feet for much of your shift, moving between the front desk and the facility, working around dogs and cats of all sizes and temperaments, and occasionally lifting or carrying pet belongings, supplies, or equipment. Comfort being around animals in a busy environment is essential.
Pay: $20.00-$22.00 per hour
