This full-time position is based at North Star Structure Systems at 120 Cocagne Road S, Cocagne, New Brunswick.
Position Overview:
The Administrative Assistant provides administrative and clerical support to the North Star Structural Systems team, helping ensure the efficient day-to-day operation of the office and manufacturing facility. This role supports various departments, including production, logistics, purchasing, sales, and management by maintaining accurate records, coordinating communications, and assisting with operational processes.
The Administrative Assistant plays an important role in supporting customer service, document management, and internal coordination to help the organization operate efficiently and professionally.
Key Responsibilities
Administrative Support
- Provide general administrative support to management and various departments.
- Answer and direct incoming telephone calls, emails, and visitors in a professional manner.
- Prepare, organize, and maintain company files, records, and documentation.
- Assist with data entry and the preparation of reports, spreadsheets, and correspondence.
- Schedule meetings and maintain calendars as required.
Production & Operations Support
- Assist with the preparation and distribution of production paperwork and job packages.
- Maintain filing systems for work orders, drawings, purchase orders, and delivery documents.
- Support production and logistics teams by updating schedules and tracking documentation.
- Assist with inventory records and material tracking as required.
Customer & Vendor Communication
- Respond to general customer and supplier inquiries or direct them to the appropriate department.
- Assist with order confirmations, delivery coordination, and follow-up communications.
- Maintain professional relationships with customers, suppliers, and transportation providers.
Purchasing & Accounting Support
- Assist with the preparation and processing of purchase orders.
- Collect and organize invoices, packing slips, and supporting documentation.
- Support administrative functions related to accounts payable and accounts receivable.
- Maintain organized records for audits and internal reporting purposes.
Office Coordination
- Maintain office supplies and coordinate ordering as required.
- Support onboarding paperwork and general HR administrative functions.
- Assist with special projects and other administrative duties as assigned.
- Help maintain a clean, organized, and professional office environment.
Skills and Qualifications
· High school diploma or equivalent required; post-secondary education in Business Administration or Office Administration is considered an asset.
· Previous experience in an administrative or office support role is preferred.
· Experience in a manufacturing, construction, or building materials environment is an asset.
· Strong organizational skills with the ability to manage multiple priorities and deadlines.
· Excellent communication and interpersonal skills.
· Strong attention to detail and accuracy.
· Proficiency with Microsoft Office (Word, Excel, Outlook).
· Experience with ERP, accounting, or inventory management software is considered an asset.
· Ability to work independently while contributing to a collaborative team environment.
· Bilingualism (French and English) is a significant advantage.
Working Relationships
· Reports directly to the Operations Manager / General Manager.
· Works closely with Production, Design, Logistics, Purchasing, Sales, and Accounting teams.
· Maintains regular communication with customers, suppliers, and service providers.
Working Conditions
· Office-based position within a manufacturing environment.
· Frequent interaction with production and yard operations.
· Occasional interruptions and changing priorities in a fast-paced work environment.
