The Position
This is a temporary position with immediate start and end date of December 31, 2026. This position reports directly to the Vice President of Commercial Business, Alltech Canada and be responsible for all administrative, office coordination and executive support duties. The position will also work closely with the marketing team to support projects and event coordination for company-wide marketing initiatives.
Responsibilities
Administration
- Transcription of e-mail and correspondence, ensuring e-mail, phone and other messages are delivered in a timely manner
- Special projects (meetings, various projects)
- Effectively interface with every level of the organization including sales team, researchers, and executives across the world
- Prepare daily, weekly, monthly, and quarterly reports as requested
- Communicate vital company policies and latest information to the territory team
Office Coordination
- Providing office management services to the sales and marketing team in their region including but not limited to, maintaining the office, scheduling, accommodating customer requests, letters/emails, weekly reporting, setting up meeting rooms, webinars, teleconferences, corporate visits, etc.
- General reception duties including answering phones, greeting visitors to office, courier service, filing, preparation of sales reports and various professional correspondence
- Responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency
Executive Support
- Arrange travel for territory team when requested
- Prepare and submit territory team expenses as requested
- Prepare and send monthly calendar(s) for regional Manager
- Coordinate consultant schedules and travel when visiting the territory
- Create presentations and draft correspondence for management
Marketing Support
- Support in managing event and marketing campaign details
- Liaising with vendors and/or partners to coordinate marketing initiatives
- Preparing and distributing communications and other promotional mailouts
- Maintaining and updating customer databases and mailing lists
- Marketing project support and flexibility is required
Event Coordination
- Assisting in the planning and execution of events
- Handling logistics, registrations, bookings, and promotional materials for events
- Communications support, as required
- As events greatly vary in tasks and support needs, other event tasks will be needed as required
Requirements
- Prior experience as an Administrative Assistant to senior management
- Ability to effectively interact with all levels of employees and customers
- Resourceful, proactive, assertive, detail oriented and energetic
- Self-starter, high level of motivation, ability to work independently and as a member of a team
- Excellent verbal and written communications
- Excellent organization and follow up skills
- Ability to manage multiple assignments
- Computer skills: Advanced Microsoft Office skills – PowerPoint, Word, Excel; transcription skills
