FINANCE COORDINATOR
40 hours per week | HYBRID | $50,000-$55,000 Annual Salary
About the Role
The Finance Coordinator plays a crucial role in the handling of the day-to-day activities of the accounting and finance department. Reporting to the Manager, Finance & Corporate Services, the Finance Coordinator is responsible for a wide range of accounting duties and functions that need to be executed in an effective, timely, and accurate manner to support the smooth operation of the finance department.
Position Schedule: 40 hours per week; Hybrid remote – 2-3 times weekly on-site requirements.
What You’ll Do
Financial Operations
- Process and oversee financial transactions, including accounts payable, accounts receivable, invoices, donations and payment tracking.
- Manage accounts payable workflows, including invoice approvals, bill creation, expense coding, cheque preparation, and weekly expense processing. Manage accounts receivable functions, including sponsorship invoicing, collections and receipt of payments.
- Process donations and ensure accurate recording and reconciliation of fundraising revenue and donor information within accounting and CRM systems.
- Administer corporate credit card programs, including expense entry, receipt collection, statement reconciliation, and compliance monitoring.
- Prepare and complete weekly bank deposits and maintain accurate supporting documentation.
- Provide support where appropriate, to the Manager, Finance & Corporate Services by assisting with activities such as tax receipts and pound billing animal welfare payments.
Payroll, Benefits & Financial Administration
- Administer payroll and employee records through ADP and SharePoint, ensuring accuracy and confidentiality.
- Support employee benefits program, including monthly reconciliations, enrollment changes, and payroll adjustments.
- Maintaining and updating accounting spreadsheets and journal logs to ensure it is compliant with the organization’s rules and regulations, and any other relevant legislation
- Maintain the confidentiality of the GTHS’s financial business and other private information and records
Accounting, Banking & Cash Management
- Apply basic accounting principles, knowledge, and techniques to assist in the production of journal entries and perform routine accounting activities
- Manage bank fees, reconcile transactions, and ensure accurate recording of revenues and expenses in the accounting system.
- Monitor cash balances and prepare cash standing reports as required.
- Support the Manager, Finance & Corporate Services with records related to investments, including GIC maturity tracking, interest recognition, and supporting documentation
- Support budget maintenance and approved budget adjustments within financial systems.
Financial Reporting, Audit & Compliance
- Assist in the preparation of monthly financial reports, staff reports, dashboards, and profit and loss statements.
- Support the annual budgeting process and year-end financial reporting activities.
- Coordinate annual audit requirements, including gathering documentation, preparing schedules, supporting auditors, and maintaining audit files.
- Work closely with the Manager, Finance & Corporate Services to ensure compliance with accounting standards, organizational policies, and regulatory requirements.
- Provide financial and administrative support for special projects and other duties as assigned.

What You’ll Bring
Education and Experience
- Post-secondary degree or diploma in Business, Commerce, or Finance
- Minimum 3 years’ relevant work experience with accounting duties, preferably for a charitable organization
Technology Qualifications
- Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint) & Quickbooks. Level of MS Excel skills must demonstrate regular and recent proficiency at data entry, spreadsheet setup, formulas, and analysis.
- Minimum 3 years’ experience with Quickbooks.
- Familiarity with a variety of software and high-level problem-solving skills.
- Previous experience with CRM databases required. A knowledge of Sumac or Raiser’s Edge CRM Software would be an asset

Working Conditions
The work environment inherently contains common animal-related allergens, including but not limited to fur, dander, and cleaning agents. This role may also require prolonged sitting or standing (up to 8 hours/day), computer usage for extended periods, as well as walking, bending as necessary. As such, you can perform all the essential duties of the position in such an environment. This role may be subject to various interruptions and several requests during a workday. There is some exposure to disagreeable situations or people, and a high degree of mental alertness is required to ensure the safety of self and others.
