Job Summary: The Administrative Officer is for coordinating and overseeing the administrative functions that support the back office for one of Iqbal Foods largest supermarket locations. The candidate will ensure that office procedures are efficient and effective, maintains accurate records and documentation, and provides operational support for the back office team. This position involves implementing administrative systems, managing information flow, preparing reports, and coordinating with internal and external stakeholders to support daily business operations.

Job Responsibilities:

· Develop, oversee, and implement the administrative procedures and policies;

· Collaborate and coordinate with staff from various departments to identify work priorities and delegate administrative resources and personnel accordingly;

· Supervise and adapt internal administrative protocols and functions to ensure their efficiency and accuracy;

· Regularly review and prepare operational budgets and conduct planning to support project management timelines;

· Maintain and update office financial records, correspondence, and documentation;

· Liaise with departments such as Supply Chain Management, Operations and Finance & Accounting to ensure organized recordkeeping, timely filing of documents and accuracy of reporting;

· Prepare correspondences and compiling periodic reports using financial records, inventory accounts and budgetary documentation;

· Provide training to administrative staff members;

· Organize budget, plan and schedule office services and equipment, including supply orders, forms, disposal, maintenance, and etc.

· Prepare and issue invoices for accounts receivable and follow up on outstanding payments.

· Other duties as required.

Minimum Skills Requirements:

· A university degree or college diploma in business, clerical studies, public administration, or a related field is required;

· At least two (2) years of experience in an administrative, clerical or secretarial position is required;

· Experience supporting operations, logistics, inventory control, or supply chain administration is an asset but not required; and

· Must be dependable and have strong communication and organizational skills.
