Compensation
- Eligibility for pay ranging from $27.85 - $38.94 per hour, commensurate with experience.

Summary/Objective
The Senior Administrative Assistant & Office Coordinator provides high‑level administrative support to senior executives with a focus on calendar coordination, expense reporting, and general administrative tasks. This role also oversees the daily operations of the Toronto Support Center office, ensuring a professional, organized, and efficient work environment. Responsibilities include routine administrative support, general office management tasks, and coordination of internal activities.
Essential Functions
Executive Support (Limited Scope)
- Provides administrative support to executives and senior managers, including calendar coordination, scheduling, and prioritizing meeting requests.
- Assists executives with travel arrangements, calendar coordination, industry and professional event registrations, expense reporting, receipt tracking, and basic administrative financial tasks.
- Supports email monitoring and follow‑up as directed.
- Coordinates internal meetings for executives, including logistics, room setup, and materials distribution.
- Tracks action items and assist with basic project coordination as needed.
- Prepares, edits, and formats correspondence, reports, and presentations when needed.
- Maintains confidentiality and exercises sound judgment in handling sensitive information.
Office Coordination & Administration
- Oversees daily operations of Toronto Corporate Support office, ensuring a clean, organized, and professional environment.
- Serves as the first point of contact for the office by answering the primary business phone line, directing calls, and providing courteous assistance.
- Greets and assists guests, visitors, and vendors in a professional and welcoming manner.
- Maintains office supply inventory and places orders as needed.
- Coordinates with third‑party vendors (e.g., cleaning services, office equipment providers, IT support) to ensure smooth office operations.
- Maintains organized electronic and physical filing systems and ensures documents are properly stored and accessible.
- Supports onboarding logistics for new employees, including workspace setup, supplies, and basic orientation coordination with local HR resource.
- Provides general administrative support to office staff, including document organization, phone, and internal communication support.
- Supports internal meetings and office events, including scheduling, materials preparation, catering and space setup.
- Monitors the condition of shared spaces, ensuring they stay orderly and well‑stocked, with minimal upkeep such as wiping surfaces when needed and replenishing shared supplies.
- Performs other administrative and coordination duties as assigned.

Required Education, Experience, Certifications and Licensure
- Minimum of five (5) years of administrative experience, including support to senior‑level leaders.
Preferred Education, Experience, Certifications and Licensure
- Post-secondary education in business administration or a related field, or equivalent experience, is preferred.
Additional Eligibility Qualifications
- Able to read, write and speak English fluently. Bilingual is a plus.
- Attend and perform work in a professional and courteous manner in accordance with the employer’s requirements.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) required.
