Service Coordinator - Commercial General Contracting

Job Overview

Alliance Property Solutions Inc. is seeking one full‑time and one part‑time organized and proactive Service Coordinator to support our Commercial Maintenance and Construction divisions. This role is the central hub of our operations, responsible for scheduling, dispatching, communicating with clients, and ensuring our technicians and subcontractors have what they need to complete work efficiently. This role requires excellent communication skills, strong project management capabilities, and the ability to manage multiple accounts efficiently.

We work exclusively with commercial clients, including national retail brands and well‑known corporate facilities. Our organization is experiencing rapid growth as we build toward becoming a national service provider. We have a strong, committed team that works collaboratively, supports one another, and shares a unified focus on driving the organization forward.

Key Responsibilities

Act as the primary point of contact for clients, addressing inquiries and providing timely updates on project status
Schedule and dispatch technicians for maintenance service calls (handyman, electrical, plumbing, HVAC, locks/doors, etc.)
Coordinate work orders, job notes, photos, and service documentation
Utilize CRM tools to track project progress, client interactions, and sales pipelines
Communicate with clients regarding scheduling, updates, delays, and follow‑ups
Support the Construction division with scheduling, documentation, and coordination
Monitor job progress to ensure timely completion and high service standards
Assign and coordinate subcontractors when internal technicians are unavailable
Review completed work orders for accuracy before closing
Create purchase orders and track materials when required
Prioritize urgent service requests and manage same‑day dispatch
Maintain organized records of quotes, approvals, and client communications
Assist with quoting small service jobs by gathering details and technician feedback
Track technician availability, workload, and travel efficiency
Follow up on outstanding work orders, deficiencies, and client requests
Ensure all safety requirements and site protocols are communicated to technicians
Provide general administrative support to the operations team

Qualifications

Experience in service coordination, dispatching, or commercial maintenance administration
Strong communication and customer‑service skills
Strong project management skills with the ability to coordinate multiple tasks simultaneously
Ability to multitask and stay organized under pressure
Comfortable with scheduling software and general office technology
Professional, reliable, and solution‑oriented
Experience working with commercial clients or multi‑site accounts is an asset
