Portfolio Condominium Manager - CMRAO Licence Required

Important Licensing Requirement
Applicants must hold an active CMRAO Limited/General Licence issued by the Condominium Management Regulatory Authority of Ontario (CMRAO) and have at least two years of condominium property management experience.
Please do not apply if you do not currently hold a CMRAO General Licence. Limited Licence holders will not be considered for this position.
About the Opportunity
AA Property Management & Associates is seeking an experienced and fully licensed Portfolio Condominium Manager to join our team at our Concord head office.
The successful candidate will manage a portfolio of condominium corporations throughout the Greater Toronto Area. None of the assigned properties require the manager to maintain regular on-site office hours. The manager will work primarily from AA Property Management’s head office while conducting scheduled property inspections, attending meetings and visiting sites as required.
This position offers greater flexibility than a traditional on-site management role while still allowing the manager to remain actively involved with each community. The manager will receive strong support from our in-house accounting department, administrative team and senior management.
The role is ideal for an experienced condominium professional who is highly organized, works well independently and can successfully oversee multiple properties and priorities.
Work Structure
- Primarily based at AA Property Management’s Concord head office
- No fixed on-site property management office hours
- Scheduled property inspections and site visits as required
- Regular communication with Boards, residents and contractors
- Attendance at Board meetings and AGMs, including occasional evening meetings
- Support from an experienced accounting and administrative team
- Direct access to senior management for guidance and escalation

Key Responsibilities
The Portfolio Condominium Manager will be responsible for the overall management of multiple condominium corporations, including:
- Serving as the primary management contact for assigned Boards of Directors
- Providing professional guidance and recommendations to Boards
- Preparing for and attending Board meetings, AGMs and other required meetings
- Implementing Board decisions and following up on approved action items
- Conducting regular inspections of assigned properties
- Identifying maintenance concerns, deficiencies and potential risks
- Coordinating maintenance, repairs and capital projects
- Obtaining and reviewing quotations, tenders and service proposals
- Managing contractors, consultants and service providers
- Monitoring contract performance and ensuring work is completed properly
- Assisting with annual budget preparation and financial planning
- Reviewing monthly financial statements, invoices and expenditures
- Monitoring operating and reserve fund expenses
- Working with engineers and consultants on reserve fund and capital projects
- Responding to owner and resident inquiries professionally and promptly
- Administering and enforcing condominium declarations, by-laws and rules
- Managing insurance claims, legal matters and compliance concerns
- Maintaining accurate records, correspondence and meeting documentation
- Coordinating emergency response and risk-management procedures
- Ensuring compliance with the Condominium Act, 1998 and applicable regulations
- Providing regular updates and reports to Boards and senior management
- Maintaining strong organization and follow-up across the assigned portfolio
Required Qualifications
Applicants must meet all of the following requirements:
- Active CMRAO General Licence
- Minimum two years of condominium property management experience
- Strong working knowledge of the Ontario Condominium Act and related regulations
- Experience working directly with condominium Boards of Directors
- Experience managing multiple condominium properties or competing priorities
- Experience with budgeting, financial statements and expense management
- Knowledge of building operations, maintenance and contractor management
- Strong written and verbal communication skills
- Excellent organization, time-management and follow-up abilities
- Professional and composed approach when handling challenging situations
- Ability to work independently while remaining accountable to senior management
- Strong judgment, attention to detail and problem-solving abilities
- Proficiency with Microsoft Office and condominium management software
- Valid Ontario driver’s licence and access to a reliable vehicle
- Ability to travel to properties throughout the Greater Toronto Area
- Ability to attend occasional evening Board meetings and AGMs
- Legally entitled to work in Canada
Preferred Qualifications
The following would be considered assets:
- RCM designation
- ACMO membership
- College diploma or university degree
- Previous portfolio-management experience
- Experience managing residential, commercial or common-element condominiums
- Experience with capital projects and reserve fund studies
- Experience managing insurance claims and legal matters
