Reports To: Operations Manager

About WD Swim

WD Swim is a leading swim school in the Greater Toronto Area, offering high-quality swim instruction for children and adults of all ages and skill levels. We are dedicated to fostering a safe, supportive, and welcoming environment for our swimmers, families, and team members.

Position Overview

The Administrative Assistant / Front Desk serves as the primary point of contact for parents, members, and visitors. This role plays a key part in delivering excellent customer service while supporting daily administrative and front desk operations to ensure the smooth and efficient running of the facility.

Key Responsibilities

Welcome parents, members, and guests in a warm, professional manner
Respond to phone calls, emails, and in-person inquiries regarding programs, schedules, and services
Manage class bookings, registrations, cancellations, and member check-ins
Process payments, issue receipts, and assist with basic billing inquiries
Maintain accurate records, files, and member information
Communicate effectively with instructors and management regarding schedules and updates
Perform daily administrative tasks including data entry and basic reporting
Ensure the front desk area remains clean, organized, and professional at all times
Adhere to WD Swim policies, procedures, and confidentiality standards
Promptly report operational issues or concerns to management

Qualifications

Previous experience in administrative, front desk, or customer service roles preferred
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Friendly, professional, and customer-focused approach
Basic computer skills, including email, scheduling systems, and spreadsheets
Ability to work independently and collaboratively within a team
Reliable, punctual, and detail-oriented
